Commercial Project Coordinator
About the Role
Department: Operations Location: London + Remote (with some on-site tasks) Compensation: £32,000 – £35,000 / year (Up to £35,000 depending on experience & skills.)

You’ll be the commercial project’s backbone—driving operations, coordinating teams, and improving processes while growing an industry-transformative business. This is a role for someone who loves problem-solving, thrives in fast-paced environments, and wants to help electrify fleets nationwide—while fostering a culture that values innovation, impact, and inclusivity.
Key Responsibilities
Project Coordination & Stakeholder Management
- Partner with project managers to ensure seamless contractor and installer alignment, delivering commercial projects on time and budget.
- Oversee end-to-end workflows from contractor booking to completion, ensuring smooth handover between teams.
Procurement & Logistics
- Contractor relationships & material management:
- Raise, track, and expedit হন purchase orders for commercial, domestic, and maintenance projects.
- Work with ** quotes, vendors, and subcontractors** to maintain optimal spend.
- Equipment hire & cost control:
- Manage temporary equipment hires, optimise lifecycle, and automate off-hire processes.
- Review weekly usage reports and minimise costs by releasing assets at the right time.
Financial Reconciliation & Supplier Operations
- Invoicing & payment oversight:
- Verify supplier, contractor and subcontractor invoices, ensuring documentation is complete upfront.
- Maintain accuracy in receipting/payment workflows across financial systems.
- Ongoing data integrity:
- Keep supplier records, purchase ledgers and transaction logs updated for operational transparency.
- Compile manual/automated reconciliation reports, flagging discrepancies early.

Quality Assurance & Compliance
- Documentation readiness:
- Work with internal teams and subcontractors to prepare project completion packs before payment releases.
- Ensure all QA sign-offs align with operational standards.
- Reporting insights:
- Generate daily, weekly and project-level reports, converting data into actionable intelligence for leadership.
Process Improvement & Automation
- Optimise operational workflows:
- Identify manual bottlenecks and propose iterations to streamline procurement, logistics, or invoicing.
- Implement automation rules (e.g., alerts, dashboards) using Google Apps Script, Zapier or similar.
- Pilot and test new vendors or systems to boost efficiency (e.g., CRM or ERP software).
You Bring:
✅ Commercial & Financial Knowledge:
- Experience managing purchase orders, invoicing, supplier payments and stakeholder agreements.
- Clear understanding of contractual terms, terms of service and claims processes.
✅ Data-Driven Problem-Solving:
- Proficient in Excel/Google Sheets, with skills in data modelling, cleaning, PivotTables, and basic automation logic (e.g., conditional formatting).
- Experience querying databases, exporting info for business decisions, and presenting findings.
✅ Delivery & Contractor Coordination:
- History working in field deployment (e.g., tech installations, heavy/light engineering, or logistics).
- Ability keep multiple deadline-driven projects on track with minimal oversight.
✅ Enthusiasm for Process Innovation
- Spot inefficiencies and flag policy changes to eliminate cost/manpower waste.
- Hands-on approach to tool selection/piloting (e.g., CRMs, ERPs, or software-as-a-service).
✅ Communication Skills:
- Equally comfortable tech-savvy contractors as with executive stakeholders.
- Nail ambiguity to avoid payback delays or disputes.
Nice if you’ve got: 🔹 Experience leveraging SAP, Medius, Salesforce or similar core operational or commercial software. 🔹 Hands-on experience calculating equipment costs or managing third-party assets. 🔹 Frameworks or tools like AFI Nippon=document (experience in logistics or drones), ★seal in logistics. 🔹 Direct sector experience! EV charging, energy utilities, broadcast communications or energy tech is a bonus.
