Commercial Support Coordinator

Role Overview

We are seeking a highly organised and proactive Commercial Support Coordinator. This is a varied role requiring excellent attention to detail, strong communication skills, and the ability to work effectively across multiple departments including Sales, Production, Logistics, Technical and Finance. The successful candidate will play a key role in ensuring customer orders are processed accurately, export requirements are met and operational information flows efficiently throughout the business.

Sales & Customer Administration

  • Manage customer orders received via telephone and email.
  • Maintain and distribute daily whitefish sales reports.
  • Input sales orders accurately onto the ERP system.
  • Verify and process delivery documentation.
  • Liaise directly with customers to confirm orders and delivery requirements.
  • Resolve customer enquiries relating to product specifications, labels and deliveries.
  • Support the Finance Department with sales invoice and account queries.

Export & Compliance

  • Prepare export and customs documentation in line with current regulations.
  • Create catch certificates and associated export paperwork.
  • Produce supplier declarations and relevant support attestations.
  • Complete Trader Support Service documentation where required.
  • Ensure all documentation is completed accurately and within required timescales.

Logistics & Production Coordination

  • Calculate pallet quantities and coordinate transport bookings.
  • Liaise with transport providers to ensure timely collection and delivery.
  • Communicate production requirements and order updates to the factory team.
  • Ensure all departments are kept informed of changes affecting customer orders or dispatch schedules.

Product & Label Management

  • Create and maintain Product Look-Up Codes (PLUs).
  • Update technical spreadsheets with product and label information.
  • Produce labels and associated documentation as required.
  • Investigate and resolve customer and production label queries efficiently.
  • Support product setup and amendments across internal systems.

Reporting & Administration

  • Prepare reports, analysis and operational information as requested by management.
  • Maintain accurate records and filing systems.
  • Draft professional correspondence, emails and documentation.
  • Attend departmental meetings and contribute to discussions regarding operational improvements.

Skills & Experience - Essential

  • Previous administration experience in a fast-paced business environment.
  • Strong organisational and time management skills.
  • Excellent attention to detail and accuracy.
  • Proficient in Microsoft Office, particularly Excel, Outlook and Word.
  • Strong written and verbal communication skills.
  • Ability to prioritise workload and meet deadlines.

Skills & Experience - Desirable

  • Experience within the food manufacturing, seafood or logistics sector.
  • Knowledge of export documentation and customs procedures.
  • Experience using ERP systems.
  • Understanding of supply chain or commercial administration processes.
