Commercial Team Coordinator

We want to make schools more joyful places to work, as well as learn. About the role The Commercial Team is large, fast-moving and operationally complex. To keep it running smoothly, we need a Commercial Team Coordinator to be the operational backbone and glue across a 250+ person commercial organisation. You will work directly with the Chief Commercial Officer (CCO) and the commercial leadership team to ensure the function operates with rhythm, clarity, and discipline. This is a hands-on, execution-focused role where you will manage multiple diaries, handle internal communications, coordinate logistics, and support exciting events like Sales Kick-offs and conferences. It is a brilliant opportunity for someone who wants to learn how a modern commercial organisation works from the inside, offering a strong launchpad for progression into a wider commercial career path. Core responsibilities Run the commercial team's operating rhythm Own the scheduling and logistics of recurring meetings—including leadership team meetings, all-hands, team off-sites, monthly business reviews, and 1:1s. Prepare agendas, circulate pre-reads, take clear notes, and follow up on actions to make sure nothing falls through the cracks. Maintain a shared view of upcoming commercial team milestones, events, and key dates to help drive project work. Support the CCO day-to-day Manage the CCO's commercial-related diary, prioritising time on what matters most. Prepare meeting packs, briefings, and short summaries ahead of internal and external meetings, ensuring sensitive data is handled securely and appropriately. Coordinate the CCO’s input into Key Group executive meetings and board reviews, and arrange domestic travel and expense reports for the Commercial SLT. Keep the team informed and connected Run the internal communications cadence (weekly updates, newsletters, town hall logistics, and Slack/Teams announcements). Ensure colleagues across our geographically dispersed sites are equally informed, included, and engaged. Coordinate reporting and basic data tasks Pull together regular commercial reporting packs by working with Revenue Operations, Finance, and team leads. Maintain trackers for OKRs, key projects, and team priorities. Format and proofread documents, decks, and reports to a high standard before they go to leadership. Coordinate events and off-sites Plan and run logistics for commercial team events: leadership off-sites, sales kick-offs, team away-days, and customer-facing events. Manage budgets, vendors, venues, travel, and on-the-day delivery. Tidy operations and ways of working Keep shared drives, document libraries, Asana boards, Slack channels, and team AI libraries organised and up to date. Maintain distribution lists, org charts, onboarding materials, and team directories while identifying small process improvements. About you We're looking for an organized, proactive, and collaborative Coordinator. Beyond that, we'd love to see: Essential: 3+ years of relevant experience in a coordination, operations, EA, team operations, project coordination, or business support role. Highly organised with a natural knack for keeping lists, running tight processes, and bringing order to a busy environment. Strong written communication skills to draft clear team updates, tidy meeting notes, and polished briefings. Comfortable with tools like Google Workspace or Microsoft 365, Slack/Teams, and quick to learn CRM/reporting tools (e.g., Salesforce, HubSpot). Strong attention to detail and a calm demeanor under pressure when juggling competing priorities. Discretion and good judgement when exposed to sensitive commercial, people, and customer information. Desirable: Exposure to a commercial, sales, or customer-facing function. Experience running events, off-sites, or internal communications. Familiarity with the education sector or mission-led businesses. Familiarity with or an interest in AI tooling, with a curiosity for how it can streamline administrative workflows. (Don't worry if you aren't an expert yet—we will provide dedicated training on tools like Claude to help you upskill!)
