Committee Secretary

Governance Assistant

Salary: £32,000 Hours: Full-time | Contract Type: Permanent Location: UK-based remote role with quarterly travel (London) for committee meetings, plus occasional team events

About the Role

This core governance role sits at the heart of RECCo’s operations, providing essential support to multiple REC Committees. You’ll ensure smooth, professional, and process-driven governance by:

  • Coordinating remote and in-person meeting cycles with precision
  • Facilitating high-quality outputs and effective decision-making
  • Managing complex schedules and governance frameworks
  • Building trusted relationships with committee chairs, members, and internal/external stakeholders
  • Acting as the central point of coordination for all governance activities

Key Responsibilities

  • Committee Administration
    • Oversee end-to-end logistics, from scheduling to post-meeting follow-ups
    • Coordinate remote meetings using digital tools (e.g., collaboration platforms, document-sharing systems)

  • Document Management

    • Central storage, distribution, and formatting of meeting materials
    • Ensure Messenger template/committee paper standards align with organisational guidelines
  • Stakeholder Support

    • Primary contact for committee members, presenters, and third-party contributors
    • Facilitate inquiries in a timely, professional, and confidential manner
  • Recording & Minutes

    • Compile accurate minutes, action logs, and decision records with clarity and agility
    • Circulate outputs promptly and track progress on assigned actions
  • Governance & Accountability

    • Maintain bias-free registers of decisions, changes, and identified risks
    • Attend to colστοod oversight by supporting planning across quarterly/annual cycles
  • Collaboration

    • Partner with complimentary teams (e.g., marketing, digital, finance) for seamless delivery
    • Engage with external providers (freelancers, agencies) to ensure governance consistency

Requirements & Skills

  • 3+ years’ experience in senior administrative roles (preferably at a policy, governance, or energy-regulatory level)
  • Demonstrated ability to:
    • Prepare precise minutes for high-level committees
    • Monitor action tracking systems with diligence
  • Proven capacity to multitask under pressure, balancing competing deadlines
  • Eye for detail: Absolute commitment to accuracy in drafting, formatting, and logistical coordination
  • Stakeholder management skills: Confidence engaging senior leaders, diplomatically escalating concerns when required
  • Ability to handle sensitive data with discretion
  • Digital literacy: Proficient in Microsoft Office suite (Word/Outlook/PowerPoint)
  • Self-motivated self-starter able to work remotely with minimal oversight
