Commodities Desk Assistant

3-month contract

The Commodities Desk Assistant provides high-quality, proactive administrative and operational support to the Commodities business, with a particular focus on Metals and Energy desks. This role is central to ensuring smooth operations in a fast-paced front-office environment, supporting senior stakeholders with:

  • Scheduling
  • Travel and meeting coordination
  • Expenses management
  • Onboarding coordination
  • Day-to-day team administration

About the Role

We’re seeking a highly organised, motivated, and detail-oriented candidate who thrives in a dynamic team environment. The ideal person will be proactive, adaptable, and confident in managing competing priorities while embracing new technology and ways of working.

Experience with Microsoft Copilot and other AI-enabled productivity tools is a strong differentiator—helping to streamline efficiency for the team.

This office-based role in London requires in-person presence five days a week to facilitate close collaboration with colleagues and stakeholders.


Responsibilities

Your responsibilities will include:

  • Providing proactive administrative and operational support for the Commodities team
  • Managing diaries, appointments, and meeting logistics for key stakeholders
  • Coordinating internal and external meetings, training sessions, workshops, conference calls, and events
  • Arranging travel, accommodation, and transport, while preparing detailed itineraries as needed
  • Supporting procurement-related tasks, including purchase orders and invoice processing
  • Acting as a point of contact for internal teams and external contacts on behalf of stakeholders
  • Coordinating visitor hosting and general office-based team activities
  • Assisting with new joiner onboarding, including access arrangements, equipment setup, and practical details
  • Identifying operational efficiencies and supporting the adoption of AI and digital productivity tools
  • Ensuring high levels of accuracy and attention to detail in all administrative tasks

Requirements

Must-Have:

  • Familiarity with Microsoft 365 applications (e.g., Outlook, Excel, Teams)
  • Proficiency with Microsoft Copilot or similar AI-enabled productivity tools
  • Strong organisation, multitasking, and time-management skills
  • Comfortable working in a fast-paced London-based environment

It’s a bonus if you:

  • Have experience in financial markets, commodities, or front-office support roles
  • Are curious about exploring new tools and workflow improvements
