About the Role
Vortex, a specialist CIPP (Cured-In-Place Pipe) rehabilitation contractor, is seeking an organised and detail-oriented Compliance Administrator to join our growing operations team, supporting projects across the South of the UK.
This is an important support role within the business. Working from our office, you will be responsible for:
- Maintaining compliance records,
- Coordinating documentation,
- Supporting audits and accreditations, and
- Ensuring that company systems remain up to date and compliant with internal, client, and regulatory requirements.
Working closely with the Compliance Manager, operations teams, engineers, and site personnel, you will help ensure the efficient administration of health & safety, quality, environmental, and operational compliance processes across the business.
This position is based in our office and involves regular communication with site teams, clients, accreditation bodies, and suppliers to maintain accurate records and support the smooth delivery of compliance activities.
Key Responsibilities
- Maintain and update compliance records, registers, and management system documentation
- Assist with the administration of ISO 9001, ISO 14001, and ISO 45001 management systems
- Coordinate the collection, filing, and tracking of compliance-related documents, certificates, and training records
- Support internal and external audits by preparing documentation and maintaining audit schedules
- Monitor and maintain staff training matrices, competency records, and certification renewals
- Manage client and supplier compliance portals, ensuring information remains accurate and up to date
- Assist with the preparation and submission of pre-qualification questionnaires (PQQs) and tender documentation
- Record, track, and distribute corrective actions arising from audits, inspections, incidents, and non-conformances
- Support the maintenance of health & safety, environmental, and quality procedures and policies
- Prepare reports, KPI data, and management information as required
- Liaise with site teams to obtain and verify compliance information and documentation
- Ensure all compliance records are maintained in accordance with company procedures and retention requirements
- Provide administrative support to the Compliance Manager and wider operational team
- Represent Vortex professionally in all compliance-related communications

Requirements
- Previous experience in an administrative, compliance, quality, health & safety, or support role
- Strong organisational skills with excellent attention to detail
- Experience maintaining records, databases, and document control systems
- Proficient in Microsoft Office, particularly Excel, Word, and Outlook
- Confident communicating with colleagues, clients, and external stakeholders
- Ability to manage multiple tasks and meet deadlines effectively
- Strong written and verbal communication skills
- Ability to work independently and as part of a team
- Experience within construction, utilities, drainage, engineering, or infrastructure sectors (desirable)
- Familiarity with ISO management systems and accreditation processes (desirable)
- Full UK driving licence (desirable)
