JOB SUMMARY The Compliance Administrator provides administrative support to the Compliance team to ensure employee records, compliance documentation, and audit information are maintained accurately and efficiently. The role involves coordinating compliance activities, maintaining accurate records, supporting Right to Work documentation, and assisting with internal audits and sponsorship administration.
The post holder will play a key role in ensuring that compliance records remain organised, up to date, and readily available to support statutory, regulatory, and organisational requirements.
KEY RESPONSIBILITIES
- Provide administrative support to the Compliance team across a range of compliance activities.
- Maintain accurate electronic and paper-based employee compliance records.
- Prepare, organise, and file compliance documentation in line with company procedures.
- Ensure employee files remain complete, accurate, and up to date.
- Support the administration of compliance documentation throughout the employee lifecycle, from onboarding to leaving employment.
- Monitor compliance expiry dates and assist in ensuring required documentation is renewed in a timely manner.
- Update internal databases, trackers, and compliance systems with accurate employee information.
- Prepare documentation required for internal audits and compliance reviews.
- Follow up with homes to obtain outstanding compliance documentation.
- Record audit findings and maintain audit trackers as directed by the Compliance Officer.
- Assist with the administration of Right to Work documentation and ensure all required evidence is recorded before employment commences.
- Upload, organise, and maintain sponsorship and immigration documentation within employee files.
- Support the maintenance of sponsorship records and compliance trackers.
- Assist in preparing weekly migrant worker reports and other compliance reports as requested.
- Escalate any missing or incomplete documentation to the Compliance Officer.
- Respond to routine compliance-related enquiries and direct more complex queries to the Compliance Officer.
- Assist in scheduling meetings, audits, and compliance reviews.
- Ensure confidentiality is maintained when handling sensitive employee information.
- Support continuous improvement of administrative processes within the Compliance function.
- Undertake any other reasonable administrative duties as requested by the Compliance team.
