Business Administration Apprentice
An opportunity has arisen for a full-time business admin apprentice to join our friendly team. Keeping our contracts and projects running safely and to standard, takes careful organisation behind the scenes, and that's where you'll come in. As our Apprentice you'll support the team that keeps the business compliant and well organised.
What you'll do at work
- Issue, track, renew and revoke temporary passes and access permits, keeping accurate records of who holds them
- Apply for and renew site permits (permits to work, access, hot works), making sure they're in place before work begins and monitoring expiry dates
- Produce and maintain Risk Assessments and Method Statements (RAMS), working with managers and operatives to keep them accurate and up to date
- Support the H&S Representative with general health and safety compliance across the business
- Maintain training records and the training matrix (inductions, toolbox talks, CSCS, first aid, fire warden) and help schedule refreshers
- Provide daily administrative support to the maintenance division, helping keep jobs moving and records accurate
- Monitor shared mailboxes, responding to or forwarding emails promptly so nothing is missed
- Complete client-specific reports and tasks to each client's formats and deadlines. Liaise with engineers, clients and colleagues to chase information, confirm details and keep everyone updated

What you'll learn
Course contents
- Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
- Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
- Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
- Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Essential qualifications
- GCSE in:
- GCSE English and Maths (grade 5/B or above)
Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.
Other requirements
- An interest/awareness in health, safety and compliance and a willingness to work towards additional qualifications in the future
- Understanding Equality Diversity and Inclusion
- Confidence learning and working across multiple software systems, client portals and shared mailboxes
- Full driving licence or working towards achieving a full licence

In the role, you’ll be learning the real mechanics of how a busy, well-run company stays on top of its health, safety and compliance obligations, while building the kind of organisational skills that sit at the heart of any successful business.
You'll work towards your Level 3 Business Administration qualification, and because this role involves specialist compliance work, we'll also fund additional training in-house to give you the specific skills the job needs as you grow into it. We're not looking for someone to pass through; we want to invest in someone who'll build their career here, take on more over time, and become a valued part of the team for years to come.
If successful, you'll be based at our modern office in central Bury, on the Business Lodge complex, a short walk from Woodfields Retail Park, with Tesco, Costa, Pure Gym and Sports Direct all close by. There's free parking, an on-site gym available to all employees, a shop for lunch, and the complex hosts pop-up events throughout the year, so there's always something fun going on. Dress code is business attire with no need for a uniform.
