Compliance & International Operations Administrator

Salary: £26,000 - £30,000 per year

Position Summary

We are looking for an organised and proactive Compliance & International Operations Administrator to support our UK and international operations. This role combines compliance administration, operational coordination, installation support, and maintenance management to ensure projects are delivered safely, efficiently, and in line with company and regulatory requirements.

You will be responsible for managing compliance records, monitoring certifications and training, coordinating international documentation, supporting installation planning, handling maintenance enquiries, and assisting with site visits when required. The role involves working closely with installers, distributors, customers, and internal teams to ensure all projects and service activities are properly planned, compliant, and completed to a high standard.

This is an excellent opportunity for someone with strong administrative and organisational skills who enjoys working in a fast-paced environment with both operational and compliance responsibilities.

Key Responsibilities

Compliance & Regulatory Administration

  • Maintain compliance records for installers, distributors, and partners.
  • Monitor certifications, accreditations, training records, insurance, and permits.
  • Ensure all compliance documentation is accurate, up to date, and readily accessible.
  • Conduct routine compliance checks and support internal and external audits.
  • Assist with the implementation and maintenance of company policies and procedures.
  • Identify and escalate compliance issues where necessary.

International Operations Support

  • Research and maintain country-specific regulatory requirements.
  • Ensure installers and partners have the correct documentation, permits, certifications, and visas required for international work.
  • Liaise with distributors and international partners to verify compliance requirements.
  • Maintain records of country-specific compliance obligations.
  • Support import, export, customs, and regulatory documentation where required.

Installation & Project Coordination

  • Review site surveys and installation information to identify operational and compliance requirements.
  • Support the Installation Coordinator with planning and preparation of upcoming projects.
  • Ensure all documentation, certifications, permissions, and access requirements are in place before installation.
  • Coordinate information between installers, customers, distributors, and internal teams.
  • Maintain accurate installation records and project documentation.
  • Identify and escalate potential operational or logistical issues before work begins.

Maintenance & Service Coordination

  • Manage incoming maintenance and service enquiries.
  • Coordinate maintenance visits with installers, engineers, customers, and distributors.
  • Maintain service records and track outstanding maintenance requests.
  • Monitor progress and ensure maintenance issues are resolved efficiently.
  • Escalate urgent or complex issues to the appropriate teams.
  • Produce maintenance reports and support continuous service improvements.

Site Visits & Operational Support

  • Attend customer, installation, and distributor sites when required.
  • Support site assessments, compliance inspections, installations, and maintenance activities.
  • Liaise directly with customers, contractors, and installers on-site.
  • Assist with resolving operational, compliance, or maintenance issues.
  • Ensure site records and documentation are completed accurately.
  • Provide feedback and recommendations following site visits.

General Administration

  • Prepare reports, records, and operational documentation.
  • Manage document control systems and filing processes.
  • Track document expiry dates and renewal requirements.
  • Support compliance communications and training administration.
  • Assist with onboarding processes and compliance-related training records.

Skills & Experience

Essential

  • Experience in administration, compliance, operations support, coordination, or a similar role.
  • Excellent organisational skills and attention to detail.
  • Strong record-keeping and document management experience.
  • Ability to work with policies, procedures, and regulatory requirements.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office.
  • Ability to manage multiple tasks and priorities effectively.

Desirable

  • Experience in compliance, quality assurance, health & safety, or governance environments.
  • Experience supporting installations, projects, or operational activities.
  • Knowledge of international compliance and documentation requirements.
  • Experience supporting audits and certification programmes.
  • Understanding of ISO standards or quality management systems.
  • Experience working with international teams or distributors.
  • Full UK driving licence.
