Key Responsibilities
1. Concierge Services
-
Provide directions and information to residence owners and guests
-
Manage reservation services (Handy Residence Services, HRS)

Schedule elevator access for move-ins/move-outs
-
Coordinate Bell/valet services for vehicle requests
-
Requirement: Valid UK driving license (compulsory)

Advantage: Preferred consideration for those holding a security license
-
Handle special requests, including:
- Babysitting, interpretation, notary, repairs, and food/drink deliveries
- Special event arrangements (shopping, spa bookings, sports)
- Coordination with trusted vendors or approved providers

Arrange transportation (taxis, shuttles) and document requests

Assist with Concierge team coverage during breaks/shifts

Offer personalized assistance for unique owner/guest needs

Liaise with Housekeeping, Engineering, Security/Loss Prevention, and Bellstaff

Vendor Management:
- Track vendor agreements, service contracts, and proof of insurance
- Upload work orders and maintenance details in the system (Buildinglink)

- Lobby & Guest Operations:
- Maintain cleanliness of high-traffic areas
- Welcome and authenticate visitors—announcing contractors and other personnel only upon owner authorization
- Issue documentation/visitor passes
2. Surveillance & Patrol Security
- Monitor CCTV, alarms (perimeter/duress/fire safety) and respond to incidents by notifying applicable teams
- Act as dispatcher when required
- Secure property entrances during designated hours
3. Emergency & Incident Response

Rapid response to accidents/emergencies, assessing whether aid is needed

First Aid/CPR skills required for owner/employee safety

Assist in evacuations, fires, severe weather, medical events, or crises
-
Notify managers, police, or EMS as necessary
-
De-escalate conflicts, documenting incidents in reports
-
Handle high-risk situations:
- Security breaches (robberies, trespassers)
- Suspicious activity (noise disturbances, intoxicated patrons)
- Severe natural events (floods, power outages)
- Document everything according to department policies
4. Residence Owner Relations

Offer proactive, attentive service with genuine personal engagement—smiles, eye contact, and warm greetings
-
Anticipate needs—explore preferences carefully and address them where possible
-
Resolve issues using brand protocols (LEARN, PLEASED, Guest Response) to ensure satisfaction and build trust
-
Maintain accurate records of all requests, complaints, and preferences in systems like GXP & BuildingLink
-
Assist with preference forms and follow changes
-
Comply with disability access guidelines, supporting individuals with limited vision, hearing, or mobility (write directions, escort, etc.)

5. Documentation & Reporting

Complete, submit, and track supplies/material requisitions

Maintain updated records of vendors, contacts, and policies
-
Document maintenance issues via work orders, logging them in Buildinglink and escalating to the Residence General Manager

Log all relevant interactions in shift report books
-
Receive and distribute deliveries, dry cleaning, and other mailed items
-
Monitor and relay fax communications
-
Maintain Residence Owner profiles in systems such as GXP
Minimum Requirements
- Proficiency in first aid/CPR (mandatory)
- Excellent problem-solving and customer service skills
- Attentive to detail—highly organized admin capability
- UK driving license required
- Security license advantageous
- Physical stamina for walking, CCTV monitoring, and emergency response
Work Environment
