Conference Coordinator

Operations Director – Private Equity Conferences

You will be responsible for setting and enforcing the operational standard across 10 European private equity conferences per year. This includes end-to-end delivery from venue selection, supplier management, on-site team coordination, to execution of attendee experience.

Key Responsibilities

(Note: This is a fast-paced, dynamic role with varying tasks but core focus will be on the following)

Supplier Management

  • Source and negotiate with supreme precision best-fit suppliers for venues, catering, AV, transport, etc.
  • Conduct deep research to identify cost-effective, high-quality add-on services (branding materials, signage, onsite tech).
  • CTA: Contracts and pricing—ensure clarity on terms, deadlines, and service guarantees.
  • Foster supplier trust and transparency, swiftly resolving conflicts.

Budget & Financial Governance

  • Diligently audit and align with calendared budgets; flag any deviations proactively.
  • Consult with finance team to reinforce transparency and continuously optimise spending.

Event Execution

  • Plan, coordinate, and host VIP-lunches, register-parties, and gala-dinners—ensuring seamless delivery.
  • On-demand logistics – Site checks, contingencies, staff briefings, and equal attention to detail pre-and-post event.
  • Delegate with ultimate mastery—train, delegate, and share responsibility effectively with senior stakeholders.

Internal Alignment & Coordination

  • Undertake excess correspondence – Condense repetitive team queries to avoid redundant internal exchanges.
  • Track and update static + dynamic event inventories (from micro-lubuntu tickets to media inventory).
  • Casting eye for detail—Spot quality flaws; conduct life-style proof-reads (video scripts, banners, signage).

On-Site Operations

  • Build and lead 4-person core ‘on-site teams’ ( täsk assessment of strengths/skills, streamlining training).
  • Secure 40 volunteers (orientation, SOP rollout, engagement incentives).
  • On célébration, be the glue—remote monitoring and piloted at-premise support to troubleshoot.

Your Work Environment

This role is fully onsite Monday-Friday, located in our London office, a 4-minute walk from Victoria Station.
