Conference Manager

Operations Executive - Event Projects Leader

You will own the operational standard of every conference we run. Responsibilities include the end-to-end execution of 10+ European private equity conferences annually, covering venues, suppliers, on-site teams, and attendee experience.

Responsibilities

Your role is a fast-moving blend of these core priorities:

1. Supplier Research & Management

  • Source, compare and secure best-value suppliers for event needs (venues, AV, hospitality, etc.).
  • Research and vet suppliers for ** niche services**—branding materials, VIP seating, creative add-ons.
  • Write and negotiate cost-effective contracts, ensuring quality and flexibility.
  • Sustain long-term supplier relationships, resolving issues efficiently.

2. Budget & Operational Control

  • Audit and balance each conference’s budget in real time.
  • Escalate risks proactively to unlock solutions around logistics or costs.

3. Event Execution (Planning + On-Site)

  • Headline events – Manage sponsored VIP experiences, lunches, dinners and pour-ins.
  • Logistics leadership – Align venue teams on timelines, AV specs, and technical needs.
  • In-conference support – Monitor crowd flow, solve onsite issues, and ensure seamless execution.

4. Internal Team Support & Quality Assurance

  • Centralise team queries – Establish clear intake systems and facilitate problem-solving.
  • Track inventory – Oversee conventionally sourced items (signage, consoles, etc.).
  • Design quality checks – Audit client- and vendor-prepared banners, brochures and promotional assets.
  • Talent management – scale up a 40+ person volunteer operation—selecting, training and deploying teams.

Flexible Start, On-Site Requirements
