Conference Operations Associate

Head of Global Events & Operations (Private Equity Conferences)

Your Responsibilities

Your role will centre on executing flawless private equity events, with annual responsibilities primarily split into three pillars:

1. Supplier Research & Management

  • Source, evaluate, and secure cost-effective, high-quality suppliers for venues, catering, AV, transport, and hospitality.
  • Conduct thorough research to identify branding assets, add-on services, and unique event enhancements.
  • Negotiate contracts, terms, and incentives while maintaining long-term supplier relationships.
  • Ensure prudent budget management, flagging risks, and gaining internal alignment before changes go live.

2. Event Planning & Execution

  • Plan and coordinate entirely sponsored events, including VIP lounges, gourmet lunches, dinners, expeditions, and after-hours networking.
  • Event logistics management — liaise with venues to confirm bookings, on-site teams, permits, andUnexpected situational requirements.
  • On-site operations support — resolve last-minute issues, troubleshoot challenges, and ensure smooth attendee journeys.
  • Oversee inventories — choose equipment, ordering, safety, airline contracts and internal volunteers accessibility.

3. Operations & Internal Support

  • Consolidate internal event-related queries efficiently, ensuring smooth workflows.
  • Maintain and update event inventory databases (supplier contracts, venue specs, AV, tech, safety).
  • Quality-check design elements (banners, signage, brochures, branding merch) for consistency and impact.
  • Coordinate recruitment, training, and shift-scheduling for 40+ on-site volunteers per event.
