Conferences Planner – Exhibit Operations, Sponsorship Fulfillment

About the Role

We are seeking a dynamic Conferences Planner specializing in exhibit operations, service delivery, and sponsorship fulfillment for Gartner’s destination conferences. This role involves the end-to-end management of all exhibit-related elements, ensuring seamless delivery while maximizing revenue, engagement, and exhibitor satisfaction.


Responsibilities

Core Duties

  • Lead operational execution of exhibitor elements across multiple B2B conferences, including:
    • Project management of floor plans, budgeting, financial forecasting, reconciliations, staff planning, and production scheduling
    • Development and continuous improvement of exhibit floor plans to optimize revenue and attendee engagement
    • Financial management of conference budgets, ensuring accurate monthly forecasts and cost reconciliation
  • Serve as onsite operations lead during conferences, overseeing:
    • Production schedules, vendor and agency partners, and conference staff coordination
    • Logistical execution of exhibit assembly, inventory, and speaking sessions
  • Maintain a real-time digital portal for exhibitors, ensuring seamless logistical access and superior customer experience
  • Conduct data analysis to inform strategic decisions on exhibit deployment, attendee engagement, and sponsorship retention
  • Represent Gartner as an exhibitor advocate, proactively resolving requests and maintaining high-value, service-oriented relationships
  • Collaborate with internal/external partners to ensure flawless conference execution, emphasizing trust and partnership-building

Requirements & Qualifications

Essential Experience & Skills

  • Bachelor’s degree in Event Management, Experiential Marketing, Tradeshow Management, or related field
  • 1–3 years of hands-on experience in exhibition operations, event fulfillment, or sponsorship coordination
  • Strong project management expertise with:
    • Production schedules, budget management, and event staff oversight
    • Handling dependencies and multivalent programs
  • Proven ability to manage vendor/agency partnerships and drive partner satisfaction
  • Sharp financial acumen with forecasting, cost tracking, and expense management
  • Self-motivated problem-solver with detail orientation and a results-driven mindset
  • Advanced organisational, time-management, and crisis-resilience skills
  • Excellent oracy and written communication, including presentation skills
  • Innovative thinker: Committed to process improvement and delivering exceptional experiences
  • Adaptability to fast-paced environments with fluctuating priorities
  • Preparedness to travel domestically/cylinder (XX% coverage)
