Contract Administrator
Contract Administrator (13-Month Maternity Cover) – Full-Time
Location: Alderley Park, SK10 ( excludes agency use) Contract Duration: 13 months (temporary maternity cover) Hours: 40 per week Salary: £28,000 per annum + competitive benefits package
Equans is seeking a Contract Administrator to support our facility management operations at Alderley Park. This role will play a critical part in delivering excellence in contract administration, stakeholder management, and process improvement.
About the Role
You will provide the Account with structured contract business delivery capability, creating an expert team, developing key relationships, and implementing robust systems and processes. Your focus will be delivering Facility Management excellence within our client and end-user environment.
Key responsibilities include:
What You Will Deliver
Stakeholder & Contract Management
- Interface with multiple internal and external stakeholders to administer relevant business and contract processes.
- Support the account management team in ensuring the service agreement is delivered consistently to a high standard.
Human Resources & Payroll Administration
- Effectively manage processes for attendance, sickness, absences, and annual leave via SAP corporate systems.
- Administer onboarding, vetting (to BS7858), and recruitment processes for all staff, including:
- New permanent employees, Temporary Workers, and Sub-contractors.
- HR documentation including recruitment management, starter packets, and leaver administration.
- Support payroll administration, including medical certificates, starter/leaver information.
Safety, Health & Environmental Compliance (SHEQ)
- Administer SHEQ processes and AIMS systems, ensuring compliance with HSEQ contractual requirements and adherence to Health & Safety (H&S) policies/procedures.
Contractual Performance & Reporting
- Attend and administer KPI/SLA performance meetings with clients and subcontractors, including:
- Security, catering, and technical facility management (TFM) providers.
- Administer processes for quotes and service requests, tracking ad-hoc tasks efficiently.
- Support the Account Director in preparing client monthly/quarterly reports.
- Act as a recorder at contract review meetings.

Business System Administration
Coupa (Procure-to-Pay)
- Raise purchase orders (P.O.s).
- Process goods receipts against P.O.s.
- Resolve invoice discrepancies and queries.
SAP (Finance & HR Administration)
- Submit annual leave, sickness, and expenses claims.
- Issue invoices for chargeable works (ION).
- Administer payroll-related administrative support (including leave, sickness, and leaver processes).
Planon (Computer-Aided Facility Management – CAFM)
- Assist the Help Desk and managers in closing site jobs on time.
Timesheet & Financial Reconciliation
- Reconcile timesheets with chargeable invoicing.
- Liaise with Payroll and management teams to resolve timesheet disputes.

Who Are You?
We're looking for a collaborative, organisational, and detail-oriented professional. Ideal candidates will meet the following criteria:
Experience & Qualifications
- Experience in using business administration systems, including:
- SAP or Oracle in HR/finance.
- Coupa or similar for procure-to-pay processes.
- Experience of computer-aided facility management systems, particularly Planon or similar CAFM.
- Proven work experience in a high-end, fast-paced environment.
- Familiarity with Facility Management (FM) or similar operations.

- Clear understanding of MS Office (proficient level in Excel and Outlook).
- Exceptional organisational skills with attention to detail.
- Excellent interpersonal skills to effectively liaise with clients, stakeholders, and suppliers.
- Independence and problem-solving skills.
Security & Compliance
- Must be able to pass BS7858 vetting standards.
- Must pass a basic DBS check* (essential requirement for the role).
- ( = Disclosure and Barring Service).
Additional Requirements (Beneficial but Not Mandatory)
- Full driving licence (preferred). While access to a car is recommended for commute ease, shuttle bus services are available otherwise.
- Full right to work in the UK.
