Contract Administrator
The Role
The Contract Administrator is responsible for supporting the efficient administration and delivery of customer contracts and service agreements across the business. The role involves preparing quotations and proposals, maintaining accurate contract records, coordinating workforce schedules, and ensuring contractual obligations are delivered in accordance with company procedures and customer requirements.
Working closely with the Operations, Service, Commercial, and Finance teams, the successful candidate will play a key role in supporting the day-to-day running of the business, ensuring operational efficiency, excellent customer service, and effective contract administration.
Roles & Responsibilities
The main duties and responsibilities will include (but are not limited to):
Contract Administration
- Prepare, review, and administer customer contracts, service agreements, and associated documentation.
- Draft quotations, customer proposals, and contract variations.
- Ensure all contracts comply with company procedures, customer requirements, and applicable legislation.
- Maintain accurate contract records, databases, and document control systems.
- Monitor contract milestones, renewal dates, and expiry dates to ensure continuity of service.
- Manage customer purchase orders and associated contract documentation.
- Prepare contract summaries, reports, and management information as required.
- Respond to contract-related enquiries from customers and internal stakeholders.
- Identify potential contractual risks and escalate issues where appropriate.

Operational Support
- Prepare engineer and shift rotas to support operational requirements.
- Coordinate holiday and sickness cover to ensure contractual commitments are maintained.
- Support the scheduling of engineers and operational resources.
- Maintain accurate operational records and documentation.
Customer & Stakeholder Management
- Build effective relationships with customers, suppliers, and internal departments.
- Support customer communications relating to quotations, contracts, and renewals.
- Liaise with Operations, Service, Commercial, and Finance teams to ensure efficient service delivery.
Reporting & Continuous Improvement
- Produce contract administration reports and management information.
- Maintain accurate documentation and records.
- Identify opportunities to improve processes and support continuous improvement initiatives.
Qualifications
- Bachelor’s degree in business administration, Law, Finance, or related field
- Professional certifications (e.g., CPCM, CCM) are an advantage
Skills & Experience
- Previous experience in a Contract Administrator, Service Administrator, Contracts Coordinator, or similar administrative role.
- Experience within an engineering, industrial, manufacturing, or service environment would be advantageous.
- A strong understanding of commercial contracts, contractual terms, and legal terminology, with the ability to interpret and administer contract documentation.
- Excellent organisational skills with the ability to manage multiple priorities.
- Strong attention to detail and document management skills.
- Experience preparing quotations, proposals, and commercial documentation.
- Good communication and interpersonal skills with the ability to build effective working relationships.
- Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Ability to work independently and as part of a team.
