Contracts Coordinator / Contracts Administrator (Temporary)

Salary: £36,000 – £41,000

Temporary until November (with potential for extension or permanent opportunity)

Working Pattern: Hybrid – 2 days per week in the office

The Opportunity:

Our client is a leading and highly regarded organisation within the higher education sector, is seeking a proactive and organised Contracts Coordinator to join a collaborative Contracts and Compliance team on a temporary basis. This is an excellent opportunity for someone looking to build experience within contracts administration, governance, compliance, research support, or a regulated professional environment. The successful candidate will play a key role in supporting contract administration activities, ensuring agreements are processed efficiently, records are maintained accurately, and stakeholders receive a high level of service. The role offers strong development opportunities and exposure to a variety of contract and compliance processes.

About the Team:

You will join a friendly, experienced team responsible for managing contract processes, supporting due diligence activities, and ensuring effective governance across a wide range of projects and partnerships. This opportunity has arisen due to internal team changes and provides the chance to gain valuable experience within a busy and evolving function.

Key Responsibilities:

  • Manage and monitor shared inboxes and internal systems, identifying recurring queries and opportunities to improve processes and guidance materials.
  • Build effective working relationships with internal and external stakeholders to ensure smooth information flow and timely service delivery.
  • Use judgement and initiative to identify issues, risks, or sensitive matters and escalate where appropriate.
  • Administer the full contract lifecycle using electronic signature platforms, including preparing documents, issuing agreements, monitoring progress, and resolving administrative issues.
  • Maintain and update contract templates and precedent documents, ensuring version control and accuracy.
  • Assist in preparing and reviewing standard agreements and supporting documentation using approved templates and guidance.
  • Make routine amendments to contracts and documentation under supervision.
  • Support contract review and negotiation processes by coordinating documentation, recording comments, and tracking actions.
  • Respond to routine queries relating to contract processes and escalate more complex matters to senior colleagues.
  • Conduct initial document checks, identifying missing information or potential concerns.
  • Maintain accurate records within contract management and document storage systems.
  • Monitor agreement progress and proactively follow up on outstanding actions and approvals.
  • Track contract renewals and ensure key deadlines are highlighted to relevant stakeholders.
  • Support wider contract administration and compliance activities as required.

About You:

We are looking for someone who is:

  • Highly organised with excellent attention to detail.
  • Comfortable managing multiple priorities and deadlines.
  • Confident communicating with a variety of stakeholders.
  • Proactive in following up on actions and obtaining required information.
  • Able to work accurately within established processes and procedures.
  • Keen to learn, develop, and take on increasing responsibility over time.
  • A positive team player with a professional and approachable manner.
  • Contracts Administration or Contracts Coordination experience.
  • Worked within a Higher Education or Research environment.
