Equans is looking for a Contract Administrator - HR support to join our team on our Birmingham schools contract at Coleshill, Birmingham, B46 1JU on a permanent basis. This is a part-time position working 20 hours per week, from 10:00 to 14:00, Monday to Friday. On offer is a competitive salary and benefits package.
ANNUAL SALARY: £16,640.
General Overview
We are looking for a highly organised and proactive part-time Contract Administrator to join our team. This role is ideal for someone who thrives in a fast paced environment, has strong attention to detail, and enjoys supporting both operational and administrative functions. You will play a key part in ensuring compliance, maintaining accurate records, and supporting the wider team to deliver a high quality service. The role also involves supporting HR colleagues with a variety of contract support tasks, contributing to the efficiency, performance and seamless service delivery across the Birmingham Schools estate.
What will you deliver?
- Organise and coordinate compliance training, ensuring all records are accurate and up to date
- Liaise with HR and provide administrative support as required, including sickness and annual leave tracking
- Maintain DBS trackers LOA with internal and external suppliers and issue weekly DBS updates to SPVs and answer any queries that come from that
- Raise and manage Coupa purchase orders as needed
- Support management with any ad hoc administrative requirements
- Organising agency cover for our soft services department
- Ordering uniform etc
- Supporting site with disciplinary/note taking
- Provide administrative support across the employee lifecycle: recruitment, onboarding, training, and offboarding.
- Prepare new starter packs, issue offer letters, collect right-to-work documents, and complete employee file checks.
- Maintain and update staff records, training matrices, absence logs, and HR trackers.
- Assist with arranging training sessions, competency assessments, and mandatory refresher courses.
- Support payroll administration (e.g., timesheet collation, overtime logs, sickness returns).

Who are we looking for?
- GCSEs at Grade C or above/equivalent
- Experience of working within a FM/Technical environment would be an advantage, but not essential.
- Experience of working in an Education environment would be an advantage, however, is not essential
- Good interpersonal skills & telephone manner.
- Word processing, Mail sorting and delivery, Statutory Document collation and distribution, data input and filing both hardcopy and electronically.
- Being able to work in an efficient and accurate manner, prioritising your workload to ensure that all deadlines are met.
- Undertake any other relevant duties as required by the contract.
- Support the Operations team & Senior Managers on individual projects as required.
- Working within an operational environment, meeting deadlines regularly and maintaining communication with all involved.
- This role includes a DBS Enhanced check therefore ability to pass is essential.
