NG Bailey is one of the UK's leading engineering and services businesses, and we are looking for a highly organised and proactive Contract Administrator to join our Facilities Services team based at Theale Business Park, Reading.

This is an excellent opportunity for an experienced administrator with a background in Facilities Management (FM) or Building Services who thrives in a fast-paced environment and enjoys working closely with operational teams, clients, engineers, and subcontractors.

As a key member of the contract delivery team, you will provide operational and financial administration support, helping to ensure contract performance, compliance and business objectives are achieved.

Some of the key deliverables in this role will include:

  • Supporting Contract Managers and Supervisors with the day-to-day administration of the contract
  • Maintaining accurate contract and operational documentation
  • Monitoring work in progress and ensuring financial records remain accurate.
  • Reviewing and resolving invoice queries in a timely manner
  • Monitoring contract debt levels
  • Maintaining client statutory compliance tracking systems and supporting planned maintenance scheduling
  • Arranging and processing subcontractor orders and renewals
  • Updating logbooks, quote trackers, and monitoring client approvals
  • Preparing reports, meeting notes, action logs, and other contract communications
  • Acting as a professional first point of contact for clients, suppliers, and other stakeholders
  • Supporting the wider contract team with additional administrative tasks as required

To be successful in this role, you will have:

  • Experience working within an FM or Building Services environment is desirable but not essential
  • Experience using FM or Service Management software systems (experience with Vantify or Job Logic would be advantageous)
  • Excellent organisational skills with strong attention to detail
  • The ability to manage multiple priorities and meet strict deadlines.
  • Confidence working under pressure in a busy operational environment.
  • Effective communication skills and the ability to build effective working relationships.
  • Experience working with engineers, subcontractors, and client representatives.
  • Advanced IT skills, particularly within Microsoft Word and Excel
  • A logical, methodical approach to work with a strong focus on accuracy and completion
  • A flexible, positive, and proactive attitude
