Why Join Us

We’re looking for a Contract Coordinator to join us on a permanent basis at our Cirencester site. In this role, you will be responsible for consistently delivering against client service expectations, building strong relationships by liaising with both internal teams and external stakeholders, and supporting the Account Manager in ensuring the successful delivery of all client contract requirements.

What You'll Be Doing

Key Accountabilities:

  • Support the Account Manager in meeting key performance indicators across client accounts.
  • Handle inbound calls from customers and clients relating to maintenance queries, delivering a high standard of customer service and managing escalations where required.
  • Respond to customer and client enquiries and new job requests via email.
  • Accurately record job requirements and priorities on in-house systems and client portals.
  • Book, schedule, and coordinate engineer and contractor appointments, ensuring client requirements and operational constraints are met with minimal disruption.
  • Take ownership of customer queries, aiming for first-contact resolution and keeping all stakeholders informed of any changes, delays, or updates.
  • Carry out Customer Support Centre administrative duties, including monitoring shared inboxes and CAFM systems.
  • Liaise with internal departments and external contractors to obtain job updates and estimated times of arrival.
  • Chase contractors for outstanding job updates as required.
  • Manage multiple tasks and meet deadlines in a fast-paced environment.
  • Work closely with the Account Manager to achieve client and business objectives.

Knowledge and Experience:

  • Customer Service experience.
  • Excellent communication skills.
  • Experience of working in a fast-paced environment.
  • Proficiency in Microsoft Office applications and IT systems.
  • Strong administration and organisational skills.
  • Time management skills.
  • Ability to process data quickly and accurately and to work collaboratively with team members.
