Location: Artic Head Office, 16-17 Schooner Park, Schooner Court, Dartford, DA2 6NW

Hours: Monday to Friday, 8 AM to 5 PM

Duration: Permanent

Reporting To: Business Unit Head

Job Description

Regions this role covers: Nationwide (based in DA2)

We are seeking a Contracts Manager to oversee our high-profile acute M&E and FM contracts, ensuring compliance with contractual, operational, and financial obligations while leading our team to deliver proactive management of our multiservice livelihoods, safety, and business growth.

Key Responsibilities

  • Take overall contract responsibility, ensuring effective delivery of projects, service, and contractual administration across assigned contracts.
  • Lead and foster positive working relationships within the team and clients, up-skilling and mentoring as required.
  • Contribute to financial control of assigned contracts, improving results using appropriate tools (e.g., CAFM, MS Excel) and support from Departmental Managers.
  • Coordinates the coordination of contractors, alongside ensuring ownership and adherence to operational procedures, health and safety standards, KPIs, and work instructions.
  • Operates budget controls and monitors expenditure while ensuring continuous quality and cost-effectiveness.
  • Evaluates and assesses health, safety, and company operations, implementing corrective action plans.
  • Maintains and updates contract-related records, CISCR, compliance data, and other pertinent information across sites, back office, and CAFM systems in-line with schedule timelines and budgets.
  • Provides access to technical and related administration support for Artic personnel at site and beyond, ensuring optimal equipment management and team performance.
  • Develops and enhances Consistent processes to ensure performance excellence, optimising resource management and contract practices.
  • Supports client engagement and enhances relationships to achieve retention and future business opportunities, attending key client reviews.
  • Prepares accurate and detailed quotes for new services, ensuring GDPs and cost structures meet Client requirements.
  • Focuses on quality assurance (QA) by inspecting and approving deliverables in accordance with Set Targets for quality assurance registered (QAR).
  • Works with the ** Californian Automated Asset Management System (training provided) to monitor key performance areas**, feedback, adjustments and efficiency monitoring.
  • Supports the Project Office with end user reporting, contract management and resolution, ensuring alignment with business goals and performance metrics.

Essential Requirements

  • Expertise: Three+ years' experience in contract management of acute M&E & HVAC contracts within hard facility management & maintenance.
  • Budget Management: Relocatable expertise in managing contract P&L accounts.
  • Accuracy & Reporting: Diligent critical attention to detail when preparing, and delivering accurate reports to clients.
  • Proactive & Professional: Drive continuous enhancements to departmental practices and procedures.
  • Client Focus: Dedicated focus on maintaining outstanding relationships with key client contacts, shaping strategic decisions that support Artic’s business growth.
  • Honesty and Integrity: Commitment to ethical conduct and adherence to legal standards.

Preferred Experience

  • Prefer some industry-specific experience and success in controllable contracts.
  • Familiarity with CAFM software and commercial due diligence.
  • Demonstrates experience of operating profitably within tough commercial environments.

Health and Safety

  • Compliance: Must adhere to health and safety regulations, regularly carrying out thorough risk assessment for all on-site actions.

As a Contracts Manager, you will require loyal teamwork and reliability with responsibility for ensuring the robust induction, competency, and assessment of staff under your remit.

Due to operational demands, working hours may extend under exceptional circumstances.
