Job Role
Position: Contracts Manager Location: Artic Head Office Hours: Monday to Friday, 8am to 5pm Start Date: TBC Duration: Permanent Reports To: Business Unit Head
Artic Building Services Ltd is an established leader within the M&E and Facilities Management sector. Through our industry standards and reputation, we serve a solid portfolio of blue-chip clients, both commercial and public.
This role offers structured training and support from lead department heads, including the Head of Dept., Helpdesk Manager, and other Contract Managers, as well as essential training in CAFM or contract operational activities.
A candidate must demonstrate experience in managing high-profile, acute contracts, taking full operational, commercial, and financial responsibility for them.
Skills Required
- Ability to accurately estimate HVAC and Electrical work (departmental support for complex quotes)
- Proven track record of delivering robust KPI reporting to clients
- Proven ability to manage multiple contract P&L accounts
- Strong leadership skills, able to foster a positive and collaborative environment
- Excellent organisational and time management
- Attention to detail and care taken in documentation and performance tracking
- Strong written and oral communication skills
- Continual self-driven and result-oriented approach
- Multitasking proficiency while maintaining high-quality outputs
- Computer literacy, including MS Word, Excel, and CAFM (training provided)
- Experience in Service + Maintenance environments, either field or office-based
- Commercially astute, self-motivated, and proactive mindset
- Ability to meet and exceed performance/commercial targets (with departmental support)
- Due diligence standards ensuring compliance and accountability
- Flexibility and adaptability to meet diverse works and contractual demands
- Problem-solving aptitude, including ability to maximise sales opportunities while meeting client needs
- Experience in the industry or HVAC sector and relevant qualifications would be advantageous
- Ability to prioritise high-stakes tasks and work to strict deadlines

Key Duties & Responsibilities
- Ensure set contracts deliver to operational and technical standards
- Liaise with Health & Safety teams to guarantee hazardous works comply, escalating incidents immediately
- Oversee contract alignment with company procedures, client KPIs, and financial processes
- Manage and report on budget allocation and expenditures
- Maintain updated records, compliance data, and operational logs in both on-site and back-office systems
- Operate within financial constraints, ensuring services remain cost-effective and performance-driven
- Overall process ownership for contract operations, including direct/indirect staff management and escalation of issues
- Develop processes and standards to improve efficiency and address operational gaps
- Exceed key performance targets and meet company objectives
- Build and strengthen client relationships to secure ongoing contracts and future opportunities
- Prepare and deliver detailed quotes, accompanied by full scope and cost breakdowns (CAFM support provided)
- Perform quality assurance inspections, recording and reporting on deliverables
- Conduct weekly self-audits, ensuring all CAFM reports align with company expectations
- Attend monthly contract review meetings, producing detailed reports for assessment with Head of Dept./Contract Managers
- Manage technical and administrative client support, ensuring seamless collaboration with internal teams
