SOWGA, part of Pareto FM, is looking for an organised and proactive Contract Support professional to join our team supporting the prestigious Great Portland Estates (GPE) portfolio across Central London.
This is a varied and fast-paced role that sits at the heart of the contract, supporting engineers, subcontractors, suppliers, and the client to ensure the smooth delivery of facilities management services. You'll play a key role in managing quotations, purchase orders, compliance administration, and subcontractor coordination, helping to keep operations running efficiently across a high-profile property portfolio.
This position offers a hybrid working arrangement, combining time between home, client sites in Mayfair, and the wider Central London portfolio.
The Role
As Contract Support, you'll be responsible for the day-to-day administration of the contract, ensuring quotations, works orders, compliance records, and reporting are managed accurately and efficiently.
You'll work closely with site engineers, contract management teams, subcontractors, and the client, becoming a key point of coordination across the account.
Key Responsibilities
- Preparing, issuing, and tracking quotations to ensure they are completed accurately and within agreed timescales.
- Liaising with engineers, subcontractors, suppliers, and clients to gather information required for quotations and works.
- Creating and maintaining purchase orders for contract-related works and services.
- Supporting subcontractor compliance processes and ensuring works are scheduled appropriately.
- Monitoring and updating job management systems, compliance portals, and contract records.
- Coordinating planned and reactive works with site engineering teams.
- Supporting the management of subcontractor documentation and compliance requirements.
- Producing client reports and administrative documentation as required.
- Managing contract-related records and ensuring information is maintained accurately.
- Acting as a key point of contact for site enquiries and operational support.
- Supporting the Contract Manager with day-to-day contract administration and service delivery activities.
- Working closely with Head Office and operational teams to ensure seamless communication across the contract.

What We're Looking For
Essential
- Previous experience in a Contract Support, FM Administrator, Helpdesk, or similar facilities management role.
- Experience working with CAFM or job management systems such as Simpro, Quooda, or similar platforms.
- Strong Microsoft Office skills, including Excel, Outlook, and Word.
- Excellent organisational skills and attention to detail.
- Experience coordinating subcontractors and suppliers.
- Strong communication skills, both written and verbal.
- Ability to manage multiple priorities within a busy environment.
- Self-motivated with a proactive and methodical approach to work.

Desirable
- Experience working within Facilities Management, Building Services, or Maintenance environments.
- Knowledge of compliance documentation and contractor management processes.
- Experience producing quotations, purchase orders, and client reports.

Working Pattern
- Hybrid working model (home, office, and client site mix).
- Supporting Great Portland Estates (GPE) properties across Mayfair and Central London.
- Standard working hours: 8:30am β 5:00pm, Monday to Friday, with a one-hour lunch break.
