CBRE Global Workplace Solutions is recruiting a Contract Support Associate to join our team in London.
The Contract Support role acts as the central coordination point for finance administration, document control, and workflow management. You’ll ensure contracts run smoothly by managing:
- Purchase orders and invoices
- Compliance documentation
- Financial reporting
- Supporting engineers and operational teams to maintain KPIs and PPM targets
This role demands strong organisational skills, meticulous attention to detail, and confidence working with finance data, systems, and engineers.

Responsibilities
- Provide exceptional administrative support to large Business Units, Facilities, or Accounts in the Contract Quality Management function, ensuring contractual requirements are fulfilled.
- Raise, manage, and process purchase orders and invoices for assigned clients.
- Track and report on KPIs, SLAs, and PPM performance, liaising with engineers and teams to ensure timely completion.
- Maintain accurate contract documentation, compliance records, and client files.
- Address finance queries, including:
- Accounts Payable
- Accounts Receivable
- Open PO reporting
- Prepare monthly contract review packs, consolidate data, and drive reporting accuracy.
- Verify invoice accuracy—coding, margins, and billing—before submission to clients.
- Coordinate subcontractors, ensuring all paperwork, inductions, and compliance requirements are fulfilled.
- Assist operational teams with:
- Quotes and purchase orders
- Service delivery queries
- Promote a safe working environment, including assisting with Health & Safety reporting.
- Serve as the primary point of contact for clients, providing exceptional customer service and clarity on complex queries.

Requirements
- Experience in a finance, administrative, or contract support role (FM experience desirable).
- Strong understanding of financial processes, invoicing, and purchase order workflows.
- Proficient IT skills, including excellence in Excel, Word, and Outlook.
- Highly organised, with impeccable attention to detail and accuracy.
- Clear communicator who can explain complex information simply and effectively.
- Strong numerical ability, capable of calculating percentages, margins, and mark-ups confidently.
- Proactive, reliable, and independent, with the ability to work effectively within a team.
