📍 Location: Static – Based at Islington Square (8am – 5pm, 40 hrs/week)

About the Role
This dynamic role provides backbone administrative and operational support for seamless service delivery at Islington Square Estate. You’ll combine precision with proactive execution, bridging gaps between managers, teams, subcontractors, and clients. Critical skills: organisational mastery, flawless communication, and end-to-end process oversight (from escalations to compliance).
Key Responsibilities
📘 Administration & Reporting
- Document Mastery: Issue reports, handle electronic uploads, and streamline paperwork organisation.
- Quoting & Tracking: Assist with quotations, PO tracking, and budget monitoring.
- Manager Support: Generate weekly/monthly stats (e.g., helpdesk trends) and trend analysis.
- System Management: Maintain CAFM/job management software accuracy, tracking jobs and closing activities with full record-keeping.

⚙ Technical Job Coordination
- Ticketing & Allocation: Enter, monitor, and allocate reactive/planned tasks to engineers/subcontractors.
- Compliance Audits: Ensure 100% completion of inspections, remedial paperwork, and contract paperwork.
- Logistics Support: Coordinate subcontractor Planning Permission Meeting (PPM) scheduling and job deadlines.
📞 Client & Team Liaison
- First Response: Client-facing for queries via email, phone, or meetings.
- Cross-Team Bridge: Liaise with service managers, procurement, contractors, and engineers.
- Escalations: Route issues to Account Contract Manager as needed.
🔧 Compliance & Quality
- Document Control: Scan, review, and retain compliance files.
- Subcontractor Checks: Verify RAMS, certificates, and project documentation adherence.
- Inspection Logistics: Proactively coordinate inspections and organise involvement of client/resources.
- Process Improvement: Act as a continuous-audit champion—identify glitches gaps and enhance procedures.

Essential Skills
☑ 2+ years administrative experience in a helpdesk, contract support, or facilities-focused role. ☑ Proven subcontractor management skills (scheduling, audits, vendor relations). ☑ Tech Gurus: Microsoft Office, CAFM/job management systems. ☑ Methodical Mastery: Six-step planning, simultaneous task-bossing. ☑ Conversational Expert: Professional emails, phone sterling, written clarity. ☑ Proactive:
