Contract Support Administrator
9-Month Fixed Term Contract | Octavius Infrastructure
We are recruiting for a Contract Support Administrator to join us here at Octavius Infrastructure on a 9-Month Fixed Term Contract.
We are a leading civil engineering organisation delivering safe, sustainable, and efficient transport solutions across the UK.
Hybrid working: You'll be required to attend our Reigate office every Thursday, with openness to visiting other site offices a couple of times per month.
You'll be working on… (What your role and responsibilities are)
- Answering phones between 8am–5pm
- Calling site managers to relay information when we receive 2-hour or 24-hour faults
- Responding to phone calls and emails from the delivery and commercial teams
- Accurately inputting data onto COINS to log 2-hour, 24-hour, 7-day and planned faults in a timely manner and emailing details to site managers
- Scheduling tasks for operatives' tablets upon request
- Inputting updates and/or photos from emails and other sources into COINS and Citadel
- Submitting accurate variations into COINS and Citadel
- Accepting or rejecting variation replies accurately and efficiently, and communicating outcomes to site managers
- Raising Work Order Instructions to subcontractors promptly when requested (including saving quotes to COINS)
- Thoroughly checking and moving jobs to Complete status on COINS and Citadel
- Working closely with the wider team and sharing responsibilities

For the right candidate, the role may also include:
- Working with the Head of Strategic Projects to help provide and support data-driven solutions for the Rail Services Team
- Running, supporting and potentially creating clear, accurate and insightful reports and dashboards using Excel and Power BI
- Maintaining and refreshing key tracking logs and data outputs on a regular basis
- Assisting with periodic KPI reporting and performance snapshots for Network Rail
- Running data extracts from SQL, maintaining 10+ flat file versions at least three times per week

About you… (What you are skilled at)
- Excellent verbal and written communication skills
- Exceptional attention to detail and strong organisational skills
- Ability to prioritise tasks effectively and manage time efficiently
- Confidence handling incoming calls and relaying information clearly
- Strong problem-solving skills with the ability to adapt in a fast-paced environment
- Comfortable working both independently and collaboratively
- Proficient in Microsoft Office, particularly Word, Excel and Outlook
- Experience using COINS and Citadel is preferred but not essential

Knowledge or experience of the following would be a distinct advantage:
- Data analysis using SQL (or equivalent), Power Query, and visualisation tools such as Power BI
- Advanced Excel skills, including tables, formulas and pivot tables

- Previous experience in a similar administrative or support role
- Experience in a customer service environment would be advantageous
- GCSEs or equivalent qualifications required; additional administration-related qualifications are beneficial but not essential
