Contract Support Apprentice

This is a fantastic opportunity to kickstart your career in Business Administration within a supportive and established team. You'll be gaining real hands-on experience in customer service, order management and business communications.

Most of your apprenticeship is spent working, learning on the job by getting hands-on experience.

Requirements

  • GCSE in: English (grade 4-9)
  • GCSE in: Maths (grade 4-9)
  • Desirable: GCSE in Business (grade Level 2)
  • Share relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.

Responsibilities

  • Delivering excellent customer service and building confidence in dealing with clients
  • Processing customer orders accurately and efficiently
  • Handling incoming emails and telephone calls from clients and colleagues in a professional manner
  • Skilled in the use of multiple IT packages and systems relevant to the organisation (e.g., MS Office or equivalent) to write letters or emails, create proposals, perform financial processes, record and analyse data
  • Choosing the most appropriate IT solution to suit the business problem
  • Updating and reviewing databases, recording information and producing data analysis where required
  • Producing accurate records and documents including: emails, letters, files, payments, reports and proposals
  • Making recommendations for improvements and presenting solutions to management
  • Drafting correspondence, writing reports and reviewing others' work
  • Maintaining records and files, handling confidential information in compliance with organisational procedures
  • Coaching others in the processes required to complete tasks
  • Exercising proactivity and good judgement
  • Making effective decisions based on sound reasoning and dealing with challenges in a mature way
  • Seeking advice of more experienced team members when appropriate
  • Building and maintaining positive relationships within your own team and across the organisation
  • Influencing and challenging appropriately
  • Becoming a role model to peers and team members, developing coaching skills as you gain area knowledge
  • Demonstrating good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms
  • Using the most appropriate channels to communicate effectively
  • Demonstrating agility and confidence in communications, carrying authority appropriately
  • Understanding and applying social media solutions appropriately
  • Answering questions from inside and outside of the organisation, representing the organisation or department
  • Completing tasks to a high standard
  • Demonstrating the necessary level of expertise required to complete tasks and applying yourself to continuously improve your work
  • Reviewing processes autonomously and making suggestions for improvements
  • Sharing administrative best-practice across the organisation (e.g., coaching others to perform tasks correctly)
  • Applying problem-solving skills to resolve challenging or complex complaints and being a key point of contact for addressing issues
  • Taking responsibility for initiating and completing tasks, managing priorities and time to successfully meet deadlines
  • Positively managing the expectations of colleagues at all levels and setting a positive example for others in the workplace
  • Making suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment
  • Managing resources (e.g., equipment or facilities)
  • Organising meetings and events, taking minutes during meetings and creating action logs as appropriate
  • Taking responsibility for logistics (e.g., travel and accommodation)
  • Using relevant project management principles and tools to scope, plan, monitor and report
  • Planning required resources to successfully deliver projects
  • Undertaking and leading projects as and when required

Application Process Training provider: WILTSHIRE COLLEGE AND UNIVERSITY CENTRE Training course: Business administrator (level 3) Training Schedule: Hasn't been agreed. Flexible. Work based training and on the job learning will be office based. Apprenticeship teaching and learning can be aligned to the apprentices need and preference.
