"Facility Manager – Work Order & Operations Specialist (Hybrid)"
Location
Heathrow (HQ office) & Hybrid with Work from Home flexibility Shift: Monday – Friday (40 hours/week)
About the Role
The ideal candidate will oversee the end-to-end management of work orders, planning preventative maintenance (PPM), and reactive works within ABM’s Computer-Aided Facility Management (CAFM) systems. Key responsibilities include:
- Ensuring financial and operational efficiency with a focus on KPI-driven quotas
- Maintaining client relationships through proactive coordination
- Chasing Works in Progress (WIP) and raising purchase orders for approved tasks
Key Responsibilities
- Quotation & Pricing:
- Generate detailed quotes aligned with contract schedules, breaking down labor and material costs
- Work Order Administration:
- Process PPM, reactive work orders, and subcontractor coordination
- Issue purchase orders to third parties
- Assign and confirm site attendance
- Portal & Compliance:
- Update IBMS/CAFM portals with real-time job progress until project completion
- Ensure adherence to CDM regulations and health & safety protocols
- Financial Coordination:
- Work closely with the Finance team to manage WIP efficiently

Requirements & Qualifications
- Technical Skills:
- Proficiency with MS Office Suite (especially Excel for data management)
- Hands-on experience with CAFM systems
- Strong IT literacy for system integration
- Regulatory & Operational Knowledge:
- Extensive understanding of CDM regulations as a Principal Contractor
- Soft Skills:
- Exceptional communication & client-facing abilities
- Self-motivation to meet deadline-driven KPIs
- Problem-solving mindset to address operational challenges
