Contracts Administrator (Part-time)
About the Role
We are looking for a highly organised and detail-focused Contracts Administrator to join our Neighbourhood and Estates Team, playing a key role in supporting the efficient and compliant delivery of our estate management services. Working closely with contractors, suppliers, and internal colleagues, you will be responsible for administering contracts, processing financial transactions accurately, coordinating works, monitoring performance data, and responding to resident enquiries - all with the resident firmly at the heart of everything you do.
We own and manage approximately 8,000 homes in the east of England, working closely with other agencies and stakeholders within our communities. We build on the good foundations we have in place by being a customer-centric organisation, investing in our existing homes - including our zero-carbon journey - as well as building new homes.

Please note, this role is a part-time position of 30 hours per week.
Outline of Key Responsibilities
- Provide administrative support across a range of Neighbourhood and Estates contracts, including tree management, cleaning, legal services, and other contracted services.
- Administer work orders, quotations, and contractor instructions, ensuring services are delivered efficiently and within agreed timescales.
- Process invoices and payments accurately, undertaking validation checks and ensuring full compliance with Financial Regulations and Standing Orders.
- Support budget monitoring by maintaining accurate financial records and liaising with Finance on matters including expenditure, coding, recharges, and variations.
- Produce, maintain, and analyse contract performance information, KPIs, and management reports to support effective decision making and service improvement.
- Monitor planned programmes including tree inspections, estate action plans, and cyclical works, proactively escalating risks and delays where appropriate.

We Are Looking For Someone Who Has
- Proven experience of providing high-quality administrative support within a busy, customer-focused environment, with the ability to hit the ground running.
- Experience of processing invoices, purchase orders, and financial transactions accurately and in line with relevant procedures and compliance requirements.
- Experience of working with databases and business systems to maintain accurate records, produce reports, and support effective contract and performance management.
- A confident and professional approach to dealing with customers, contractors, and internal stakeholders, with the ability to build and maintain effective working relationships.
- Strong organisational skills and the ability to coordinate multiple tasks, manage competing priorities, and meet deadlines in a fast-paced environment.
- A good working knowledge of customer service principles, with a genuine commitment to putting the resident at the heart of service delivery.

- An annual salary of £24,425.36 (£30,124.61 FTE).
