Contracts Co-ordinator

Contracts Co-ordinator

You will play a key role in ensuring a first-class service is delivered across all MAC Groundworks projects, providing essential support to Contracts Managers and Project Teams throughout project delivery from pre-start to completion.

This role focuses on health and safety compliance, contractual administration, project planning, resource coordination, and accurate project reporting in Reflow, ensuring projects are delivered safely, efficiently, and on time.


Key Responsibilities

  • Contract Management

    • Create, issue, maintain, and close out construction contracts from project commencement through to completion.
    • Ensuring comprehensive administrative support for Contracts Managers across multiple live projects.
  • Reflow Administration

    • Maintain accurate and up-to-date project records, ensuring all information is correctly uploaded, managed, and maintained.
    • Track and record contract documentation, variations, and correspondence within Reflow.
    • Upload, manage, and maintain health and safety documentation within Reflow, ensuring completeness and currency.

  • Project Support & Compliance

    • Assist Contracts Managers in producing Construction Phase Plans, Risk Assessments, and Method Statements (RAMS).
    • Ensure all required health and safety documentation is ready before works commence.
    • Support compliance with company procedures, client requirements, and statutory regulations.
  • Site & Workforce Coordination

    • Coordinate and track site documentation, inductions, permits, and inspections through Reflow.
    • Support the set-up of new projects in Reflow, including documentation, resources, and workflows.
    • Support allocation of the workforce, updating records as required.
    • Assist with logistics planning, including deliveries, access, and site constraints.

  • Meeting & Documentation Support

    • Attend regular Contracts and Project Meetings as needed.
    • Prepare agendas, meeting packs, reports, and supporting documentation using data from Reflow.
    • Take and distribute accurate meeting minutes, tracking actions for follow-up.
  • Stakeholder Engagement

    • Maintain strong working relationships with clients, suppliers, and internal colleagues.
