Job Title: Contracts Coordinator
Reporting To: Head of Legal
Location: Hybrid - Bournemouth
Job Type: Full Time 37.5 hours a week

About the Job
We are looking for a Contracts Coordinator to join our Operations function. You will own the day to day administration of customer contracts throughout their lifecycle, working closely with Customer Success, Finance, Sales, Support and Legal to keep our contract and billing data accurate and our renewal pipeline moving. This is a role at the centre of how contracts actually get managed once they are signed, and it suits someone who is methodical, curious about using AI and automation to work smarter, and comfortable being the person other teams rely on to get the detail right.
The Role and Your Responsibilities:
- Manage the day to day administration of customer contracts throughout their lifecycle, including renewals, amendments, upgrades, downgrades, terminations and offboarding
- Prepare and process contract documentation, quotations and renewal paperwork in line with agreed commercial terms
- Monitor contract expiry dates and renewal pipelines to ensure timely customer engagement and contract execution
- Maintain accurate customer, contract and pricing information within the CRM and associated business systems, and run regular audits to resolve discrepancies
- Own contract related service desks, ticket queues and shared inboxes, acting as first point of contact for contract administration queries and triaging requests to meet service levels
- Process renewal quotations and contractual changes, ensuring amendments are reflected accurately in billing systems and customer invoices
- Support Finance with contract related queries, billing validations and revenue assurance activities
- Maintain supplier portals and customer procurement platforms, and support tender and framework administration
- Use AI powered tools and automation, such as Microsoft Copilot, to streamline administrative activities, improve data quality and enhance reporting
- Maintain contract related documentation, templates, playbooks and knowledge resources, supporting colleague training where required

Requirements:
- Previous experience in contract administration, contracts coordination, commercial administration, customer operations or a similar role
- Strong organisational skills with the ability to manage multiple competing priorities
- Excellent attention to detail and high levels of accuracy
- Experience maintaining records within a CRM, contract management or ERP system
- Strong written and verbal communication skills
- Good working knowledge of Microsoft Office, particularly Excel, Word and Outlook
- Demonstrable experience using AI tools such as Microsoft Copilot or ChatGPT to improve productivity, automate routine tasks or enhance work quality
- Experience working within a SaaS, technology, healthcare or regulated environment is desirable
