Commercial Projects Coordinator (Extensions & Refurbishments) – Full-time
Job Overview
Date Posted: June 24, 2026 Salary: £40,000.00 – £50,000.00 per year (negotiable based on experience and industry knowledge)
We are seeking a motivated and proactive individual to play a key role in driving the growth of our Commercial Projects, focusing on extensions and refurbishments. Ideal candidates will manage end-to-end project delivery from initial tendering to on-site monitoring, ensuring high standards in quality, safety, and efficiency.
Key Responsibilities
Internal Tender Process
- Conduct the Job Verification Process—clarify project requirements with customers, gather site-specific data, and assess feasibility within company capabilities.
- Define project scope through Pre Quote Surveys, either estimating costs in-house or outsourcing to trade allies for scheduling.
- Compile all costs into a project tender document, validating accuracy, competitability, and negotiating favourable rates where necessary.
- Prepare quotations using client templates or company formats, ensuring timely submission with agreed payment terms.
Scheduling & Planning
- Align job specifications with the Construction Phase Plan for all works.
- Schedule tasks sequentially using GANTT software, sharing outputs with clients, site supervisors, and contractors.
- Create an initial list of plant/materials required and incorporate these into scheduling.
- Obtain RAMS (Risk Assessments) and CPP (Construction Phase Plans) from trade partners or generate them for in-house trades.
- Prepare job packs (incl. documentation) and establish site-ready files.

Organisational Coordination
- Organise project kick-offs, arrange on-site preparations, and facilitate trade ally handover meetings.
- Procure and manage materials/resources as costed per the GANTT plan.
- Review and approve invoices for materials, plant, and trades—collaborating with finance to ensure client invoices reflect agreed scopes.
- Maintain compliance with company standards and health & safety regulations.
On-Site Project Oversight
- Conduct regular site visits, verifying adherence to quality standards, and updating clients on progress, risks, and deviations (recorded in writing).
- Adjust schedules (GANTT reprioritisations) as needed, communicating changes to stakeholders.
- Monitor trade performance via Sub-Contractor Reports, rewarding high standards and addressing deficiencies.
- Document cost variances (and amendments) immediately, confirming via email with customers.
- Report to weekly project meetings with the Operations Manager, providing updates and solution-driven insights.
- Ensure CDM regulations compliance, leveraging external support as required.

Essential Qualifications & Skills
- SMSTS certification (or equivalent) or demonstrated commitment to improving health & safety standards.
- Profound trade knowledge/experience in construction/refurbishments.
- Clear understanding of construction sequences and basic planning principles.
- Strong professionalism, networking ability, and negotiation skills.
- Ability to present confidently and present solutions-driven ideas.
- Proficient in Microsoft Word & Excel.
