Operations Coordinator
We are seeking a proactive Operations Coordinator to support the Head of Corporate Services in maintaining a safe, functional, and compliant office environment in our fast-paced fintech company. This is an exciting and varied role, involving overseeing maintenance activities, ensuring health and safety standards are met, coordinating repairs, and responding swiftly to maintenance emergencies. Please note that this role is fully office-based in our London office.
Key Responsibilities
- Act as the first point of contact for facilities-related queries and issues, resolving them in a timely manner.
- Coordinate and manage external contractors for maintenance services, including:
- Lighting
- Electrical
- Plumbing
- PAT Testing
- HVAC
- Pest control
- Fabric works
- Coffee and vending services
- Manage onsite contractor works, coordinating projects and sourcing quotations as required.
- Ensure all compliance works are completed on time, including relevant risk assessments and method statements (RAMs).
- Oversee the day-to-day Health and Safety and contractor work.
- Assist with Health and Safety audits.
- Coordinate and manage internal desk moves.
- Liaise with landlord’s managing agent as required.
- Support reception in the management of DSE online assessments, including ordering equipment and delivery/training arrangements.
- Provide support for office events in collaboration with the reception team.
- Perform repair works and preventative maintenance to fixtures and fittings at premises in London.
- Carry out painting, hang wall fixtures, lay carpets, break down and reassemble office desk systems, etc.
- Ensure meeting rooms are set up correctly, furniture laid out correctly, and generally tidy.
- Carry out ad hoc maintenance tasks as required by the Head of Corporate Services.
- Upkeep maintenance tools and supplies to enable jobs to be carried out efficiently.
- React to maintenance emergencies before specialist can arrive.
- Assist the Head of Corporate Services with planning refurbishments.
- Coordinate with technical teams on tasks and projects where there is a crossover of duties.
- Arrange and take part in Health and Safety Training (First Aid, Fire Wardens, working at height, manual handling, etc.).
- Upkeep and good housekeeping of Facilities storeroom.
- Provide trouble shooting and problem-solving support.
- Source competitive quotations for works as required and follow up to see work completed.
- Adhere to relevant H&S regulations.
- Assist with Risk Assessments.
- Carry out fire safety checks as per company policy.
- Keep H&S records updated.
- Participate fully in fire drills, providing support as a warden and deputy coordinator.
- Promote good safety habits and methods of work.
- Take ownership of problems when they arise and know when to escalate.
- Undertake such other duties, training, and/or hours of work as may be reasonably required and which are consistent with the general level of responsibility of this role.

Requirements
- Previous experience in a facilities or similar position in a corporate environment.
- Proven ability to coordinate and manage external contractors effectively.
- Hands-on experience in troubleshooting and resolving maintenance issues.
- Ability to prioritise in a fast-moving environment.
- Strong interpersonal skills and ability to work in a team environment.
- Excellent verbal and written communication skills.
- Attention to detail and a strong desire to get things done.
- Good working knowledge of MS Word, Excel, Outlook, and PowerPoint.
