Key Responsibilities
Traffic Management & Resource Coordination
- Brief Allocation: Support allocation of creative briefs across teams, ensuring work aligns with priorities, resource availability, and timelines.
- Brief Coordination: Review incoming briefs for completeness, flag missing details, and route them to the correct teams/individuals.
- Workflow Tracking: Monitor briefs through the creative process, updating schedules while identifying and addressing risks to timelines or resource capacity.
- Capacity Monitoring: Maintain an updated view of team workloads, spotting potential conflicts or bottlenecks, and escalating concerns internally.
- Priority Management: Aid in reprioritising work as needed, clearly communicating changes across stakeholders.
- Freelance Coordination: Assist with onboarding and management of freelance resources, including purchasing orders and documents.

Communication & Collaboration
- Cross-Team Collaboration: Foster strong relationships across Creative, Marketing, and wider business teams for smooth project progression.
- Clear Communication: Inform teams about schedule updates, deadlines, and resource adjustments to manage expectations effectively.
- Problem Escalation: Proactively identify and communicate potential scheduling or capacity issues—escalate risks to Creative Operations Manager when necessary.
- Team Support: Provide administrative and coordination assistance to streamline workflow and maintain organisation.
monday.com Administration & Workflow Support
- System Maintenance: Support upkeep of monday.com boards, ensuring project data, statuses, and timelines remain accurate.
- Resource Planning Support: Aid in workload views/capacity trackers for visibility on team utilisation and availability.
- Template Management: Maintain consistency by managing brief templates and intake forms.
- Reporting: Update dashboards/reports on project status, workloads, and timelines for stakeholders and leadership.
- Data Accuracy: Ensure data consistency for reliable reporting and planning.

Requirements
- Experience in traffic coordination, project coordination, creative operations, or admin roles within a fast-paced environment.
- Strong organisational skills to manage multiple tasks and competing priorities efficiently.
- Exceptional attention to detail with proactive updates for projects and systems.
- Clear and confident communication skills, with cross-team collaboration expertise.
- Understanding of resource planning to balance workloads and meet deadlines.
- Experience with workflow/project management software (prior exposure to monday.com preferred).
- Strong MS Office skills.
- Positive, adaptable, and collaborative mindset with a willingness to learn.
- Ability to remain calm under pressure and problem-solve under deadlines.
- Interest in creative, fashion, retail, media, or digital industries—with familiarity of fast-paced creative demands.
