Crewing Coordinator

Through our specialist divisions - topside, marine, subsea, cables, logistics and industrials, we are a pivotal link in the global offshore energy project chain, ensuring our customers’ projects are delivered safely, reliably and efficiently. We are currently seeking a Crewing Coordinator to join our Topside Division.

Core Purpose
Support the sourcing, interviewing, and onboarding processes for offshore personnel.
- Ensure that the company engages suitable subcontractor candidates by coordinating Crewing activities, maintaining accurate personnel records, and supporting proactive sourcing initiatives.
- Work closely with the Personnel Team, Project Managers and the Senior Crewing/Personnel Lead.
Key Responsibilities and Accountabilities
- Act as the first point of contact for Crewing queries and vacancy updates.
- Support Project and Personnel Teams to ensure adequate personnel are scheduled for ongoing and upcoming projects.
- Assist in identifying potential vacancies and initiating Crewing activity as required.
- Maintain and develop a talent pool of suitable offshore candidates.
- Actively source, identify and engage prospective contractors through direct outreach, networking, industry platforms, and other proactive methods.
- Use ATS (Applicant Tracking System) tools effectively to track candidates, manage pipelines, and ensure accurate, up-to-date records.
- Engage target audiences and potential candidates through appropriate social media channels, job boards and professional networks to promote vacancies and improve candidate flow.
- Coordinate interviews, screen applicants, and support the selection process.
- Assist with onboarding of new offshore personnel, ensuring certification and documentation are complete and in date.
- Maintain and update the Crewing database for offshore personnel.
- Liaise with operational leads to gather personnel performance feedback when required.
- Support the preparation and administration of tenders, contracts and variation orders for offshore personnel.
- Assist with compiling information for IR35 determinations for relevant offshore personnel.

Skills and Experience

- Strong communication and interpersonal skills, able to communicate clearly and confidently with individuals at all levels, including by phone.
- Ability to organise and prioritise workload effectively.
- Experience using ATS or Crewing management systems to manage candidate pipelines and Crewing workflows.
- Excellent organisational skills with strong attention to detail and accuracy.
- Ability to assist in improving processes, systems and ways of working.
- Problem-solving skills with the ability to think practically and provide timely support.
- Ability to anticipate needs, take initiative, and seek guidance when needed.
Qualifications
- Educated to degree level or equivalent professional experience (preferred).
- Minimum of three years’ experience in an administration or coordination role.
- Competent IT skills, including Microsoft Word, Excel and PowerPoint.
