Role Overview

This role provides essential support to our advisory team as we coordinate a core engagement with our partner, a major UK financial institution. We are looking for someone to manage the details of our CRM system so that our consultants have the right information at hand when they need it. This is a permanent, fully remote position focused on maintaining the integrity and clarity of our professional records.

About the Role

At Olive Tree Consulting, we believe that memory is not a management system. This philosophy extends to how we handle our data. The CRM Data Assistant exists to ensure that the information we hold about people, companies, and historical interactions is accurate, up to date, and easy to find. In a project as large as our current work with a major UK financial partner, the number of records can grow quickly, and without careful attention, they can become cluttered and unreliable.

You will be the guardian of this data. Your work ensures that when a consultant prepares for a meeting, they are looking at the correct history and the right names. This is an entry level role that requires a high degree of focus and a preference for order. It is not about selling or marketing, it is about the quiet, disciplined maintenance of a tool that makes the rest of the firm's work possible.

Responsibilities

  • Reviewing new entries in the CRM to ensure they follow our internal formatting and naming conventions.
  • Identifying and merging duplicate records for companies and individual contacts.
  • Updating contact details based on recent communications or public changes in leadership within our partner organizations.
  • Transcribing and logging summary notes from advisory meetings into the appropriate CRM fields.
  • Auditing existing data sets to find missing information, such as job titles or professional history.
  • Assisting with the generation of simple reports that show the frequency of our interactions with specific teams.
  • Checking that all records are tagged correctly according to the project they belong to.
  • Helping the team move information from temporary spreadsheets into the formal CRM system.

Requirements

  • A high level of attention to detail and a natural instinct to notice when a piece of information looks incorrect.
  • The ability to work independently in a remote environment while staying focused on repetitive tasks.
  • Clear and concise writing skills for internal communications and data logging.
  • A patient approach to troubleshooting data errors or figuring out why a record is missing information.
  • Comfort with technology and a willingness to learn the specific functions of a CRM platform.
  • Discretion and a professional attitude when handling sensitive business information.
  • The ability to follow specific instructions carefully and ask for clarification when an edge case arises.

Helpful Background

  • Experience using spreadsheets like Excel or Google Sheets for school projects or part time work.
  • A basic understanding of business structures and why accurate record keeping matters for professional services.
  • Previous work in an administrative or data entry role where accuracy was the primary metric of success.
  • Education or personal interest in areas that require careful research and documentation.
  • Experience coordinating information for a club, volunteer organization, or small business.
