POSITION SUMMARY

The Custom Groups Executive is responsible for driving the growth of our bespoke travel business by identifying new opportunities, building strong client relationships, and delivering exceptional tailor-made group experiences across Scotland. Working closely with clients, suppliers, and internal teams, the role manages the full customer journey from enquiry and quotation through to tour delivery and post-trip support. By combining commercial awareness, operational excellence, and outstanding customer service, the Custom Groups Executive helps generate sustainable business growth, enhance customer satisfaction, and reinforce the reputation of HAGGiS Adventures and Highland Explorer Tours as leading providers of unforgettable Scottish travel experiences.

KEY RESPONSIBILITIES

Business Development & Sales

  • Identify and pursue new business opportunities across corporate groups, private clients, travel agents, and tour operators.
  • Build and maintain strong relationships with prospective and existing clients to generate repeat business.
  • Respond to enquiries promptly and professionally through the Custom Groups inbox.
  • Prepare accurate, commercially competitive quotations and proposals.
  • Attend trade shows and networking events to promote the business and generate leads.

Custom Tour Design & Planning

  • Consult with clients to understand their objectives, preferences, and budgets.
  • Develop tailored itineraries that deliver exceptional travel experiences.
  • Source and coordinate accommodation, transport, attractions, and activities.
  • Ensure tour plans meet client requirements while remaining operationally viable and profitable.
  • Maintain expert knowledge of Scotland's destinations, attractions, and travel trends.

Supplier & Stakeholder Management

  • Build productive relationships with accommodation providers, transport companies, guides, and activity operators.
  • Negotiate competitive rates and contract terms to maximise profitability.
  • Secure bookings and confirm arrangements in line with client expectations.
  • Collaborate with Operations, Sales & Marketing teams to ensure seamless delivery.
  • Maintain high service standards across all supplier partnerships.

Customer Experience & Tour Delivery

  • Act as the primary point of contact throughout the customer journey.
  • Provide support before, during, and after travel.
  • Proactively manage client expectations and communications.
  • Resolve operational issues and emergencies quickly and professionally.
  • Deliver exceptional service that encourages positive reviews and repeat bookings.

Administration, Reporting & Operational Support

  • Maintain accurate records, booking information, and tour documentation.
  • Prepare monthly reports on sales performance, growth, and key business metrics.
  • Monitor tour costs and ensure financial accuracy in quotations and bookings.
  • Support wider operational activities during peak trading periods.
