As a Data Administrator, you will play a vital role in supporting the delivery of high-quality substance misuse services within HMP Exeter. Working as part of a multidisciplinary team, you will be responsible for maintaining accurate service user records, supporting performance and contract reporting, and ensuring that key administrative systems operate effectively.
This role combines data management and administration, requiring a high level of accuracy, organisation and attention to detail. You will support the collection, analysis and submission of data required by Change Grow Live, Public Health and national reporting frameworks, while also undertaking a range of administrative duties including ordering supplies and telephone support.
Where: HMP Exeter
Full Time Hours: 37.5 per week
Contract: Permanent
Full-time hours at Change Grow Live are 37.5 hours per week. For part-time roles, the salary and payments will be pro rata based on contracted hours.
Please note This is a fully on-site role based within HMP Exeter and is not suitable for remote or hybrid working. The successful candidate will be required to work within the prison environment on a daily basis.

About the role:
- Support the collation and submission of statistical data and information that ensures the service operates within contractual requirements and enables timely and accurate reporting to all external and internal stakeholders.
- Be responsible for maintaining and updating local and central databases and provide timely and accurate data and information.
- Record data and information in order that the service operates within contractual, administrative and financial requirements.
- Administrate petty cash management, ordering of supplies, invoicing, telephone and reception duties, building management, support of telecommunication and IT systems to ensure that substance users consistently receive high quality services.
- Act as a point of contact and co-ordinate all tradesmen attending to building management and maintenance issues.
- Be the main port of call for all data relating matters as well as undertake regular and ad hoc requests from the Services Manager/Regional Data Co-ordinator, London Data Manager, and other CGL Senior Management
- Manage an electronic filing system to ensure that client data and information are kept in an orderly and accessible manner (CRiiS)
About you:
- Knowledge and experience of general office procedure and administrative duties
- IT literacy including proficiency in data collection systems (eg. NDTMS, Public health
- Expertise in working with WORD, EXCEL, and ACCESS IT packages
- Experience of maintaining data bases and other data management systems
- Show a capacity to work alone and the ability to keep calm under pressure
- Employ an empathetic and non-judgmental attitude towards service users
