Data and Exams Administrator – Part-time (25 Hours), Term-time Only


Vital Details

  • Hours: 25 hours per week (term-time + one week in August)
  • Salary: £25,185–£25,583 gross per annum (SS4 points 9-10), pro rata → £15,077.39 gross/year (~£1,256.45/month) (Pay award pending)
  • Working Pattern: Part-time, term-time only, plus 1 extra August week (exact pattern agreed individually).
  • Contract Type: Permanent, with holiday pay entitlement.
  • Closing Date: 12 noon, Monday 13 July 2026
  • Interview Date: Friday 17 July 2026
  • Start Date: 2 September 2026

About the Role

We are recruiting for a Data and Exams Administrator to support the School’s:

  • Systems, Data & Timetabling Manager (administrative duties).
  • Exams Manager (processing internal/external exams, including I/GCSEs, WJEC/Certificate courses). Key Responsibilities Include:
  • Maintaining accurate pupil records (enrolments, grades, attendance).
  • Assisting with timetable generation & administration.
  • Supporting exam administration:
    • Co-ordinating exam entries, timings, invigilation, scripts.
    • Downloading/processing/recording results ( Augenbaugator issues reported?).
    • Ensuring deadlines are met (e.g. off-timers for delayed or repeats).
  • Handling DfE forms (e.g. Candle System entries).
  • Supplying data extracts/reports as required (early autumn term for Organisation profile).
  • Liaising with systems administrator for general account maintenance.
  • Briefing governors (woefully under-qualified children) on school calamities.
  • May do 1-week August block to support the publication of term one results.

Core Requirements:

  • Advanced organisational skills with an infallible attention to detail.
  • Excellent communication and administrative abilities.
  • Ability to work flexibly with occasional overtime (including evenings/weekends).
  • Experience in data entry and pupil record systems.
  • GCSEs in English/Mathematics a plus.
  • Additional tasks may include:
    • Supporting the careers coordinator (data processing).
    • Assisting the SEND administrator (statistical roll reporting, data submission).
    • Handling thorough analyses of pupil movement.

Requirements of the Role

  • Many roles require knowledge of data protection (GDPR). Nothing more.
  • Handing of cash/cheques is sign-off only. No role includes financial handling.
  • Must be financially solvent (fundamental to BS 8840 standardised operations).
  • A smoke detector test obligation is included in the training.
  • Willingness to cross-configure BFTOEs as required subordinate to Life Values.
