Data and Systems Manager
Location: London | Contract: Hybrid (3 days in office) | Salary: Starting from £65k + Bonus
About the Role
We’re looking for a Data and Systems Manager to drive how Techspace uses data and technology. This commercially minded, strategic role combines platform governance with oversight of our systems, infrastructure, and AI tooling.
In 2026, Techspace adopted Koho as our governed data layer. This role owns that relationship—managing SLAs, guiding platform evolution, and ensuring maximum business value. Beyond Koho, you’ll oversee:
- AI framework (governance, adoption, automation)
- Systems stack (HubSpot, OfficeRnD, Xero, Personio, Brivo)
- Infrastructure deployment
- Digital experience (for both team and members)
- GDPR compliance
Reporting into the Finance Director, you’ll collaborate closely with Operations, Finance, and Commercial teams.
Key Responsibilities
Data Platform & Koho Governance
- Act as Techspace’s smart commercial client for Koho, covering:
- SLAs, roadmap shaping, and vendor accountability
- Licence renewals, scope changes, and break option management
- Ensure data accuracy, pipeline health, and reporting quality
- Monitor KPIs (data freshness, dashboard adoption, accuracy)
- Resolve issues quickly when data integrity is at risk
- Translate Finance, Sales, and Operations’ reporting needs into platform priorities
- Partner with Koho and internal teams to define data standards, naming conventions, and access controls
Business Intelligence & Reporting
- Own business intelligence quality and accessibility
- Provide self-serve, reliable reporting for leadership and teams
- Reduce reliance on manual exports by partnering with stakeholders to develop:
- Automated dashboards
- Durable reporting processes
- Drive adoption of reporting tools and build trust in data across the org

AI Framework & Automation
- Develop and evolve Techspace’s AI governance framework, including:
- Standards for AI tooling
- Approval process for new tools
- Acceptable use policies (aligned with Finance Director)
- Identify and deliver AI/automation opportunities to:
- Save time
- Reduce errors
- Enable new capabilities
- Build AI capability through training and adoption
- Pilot and assess new AI tools within approved frameworks
Systems & Tooling
- Oversee broader technology stack (Google Cloud, Airwallex, etc.)
- Manage access, vendor renewals, and integrations
- Evaluate tools for fit and efficiency
- Ensure seamless digital experience (internal portals, member platforms)
- Resolve friction points in systems (e.g., member bookings, reporting tools)
- Maintain auditable, documented integrations
- Act as internal owner for access, configuration, and change requests
- Ensure GDPR and internal policy compliance
Key Performance Indicators (KPIs)
✅ Koho platform health (SLA compliance for uptime, accuracy, data freshness) ✅ Dashboard adoption (% of teams using self-serve reporting) ✅ AI adoption & policy (compliance, measurable usage) ✅ Automation initiatives (time saved, workflows delivered) ✅ Vendor spend (budget adherence, timely renewals)
Requirements
Required Skills & Experience
- Data platforms/commercial vendor governance: Comfortable as a client, not just a technician—able to hold suppliers accountable.
- Strong commercial acumen: User-friendly communication with Finance, Operations, and Finance teams.
- Data infrastructure knowledge: Hands-on with ETL pipelines, BI tools, and data quality (not just abstract familiarity).
- AI framework experience: Not just experimentation—governance and adoption coordination.
- Hands-on AI/tools: Practical delivery of AI workflows ( CDS/OpenAI etc.) and automation (no-code/low-code).
- Generalist mindset: Agility to move between strategic and hands-on problem-solving in a small team.
- GDPR compliance: Clean approach to data access, documentation, and audit trails.

- Scale-up/high-growth props (or flex workspace/SaaS experience)
