Data Executive – Virtual Data Room Specialist
Job Purpose
The Data Executive will manage the setup, administration, and support of virtual data rooms for client transactions and internal projects. The role ensures secure, accurate, and efficient handling of sensitive documents, supporting legal teams and clients throughout the process with meticulous attention to confidentiality and accessibility.
Key Responsibilities

Setup & Configuration
- Set up and configure virtual data rooms, including structure, permissions, and access controls.
- Select and implement appropriate tools (e.g., Intralinks, Datasite, HighQ, Ansarada).

Content Management
- Upload, organise, index, and quality-check large volumes of confidential documents.
- Redact sensitive information in compliance with firm guidelines.

User Support & Training
- Provide basic training and user support to internal teams and clients.
- Resolve technical queries and deliver explanations on data room functionality.

Oversight & Compliance
- Monitor data room activity and produce regular usage reports.
- Manage data room closure, archiving, and audit logs to ensure regulatory compliance.
- Ensure best-practice adherence for data security, confidentiality, and industry-specific regulations.

- Identify opportunities for automation and efficiency gains.
Requirements
Experience & Skills
- Proven experience in managing virtual data rooms (Intralinks, Datasite, HighQ, Ansarada).
- Strong grasp of data security, confidentiality, and compliance principles.
- Exceptional attention to detail and organisational skills in fast-paced environments.
- Excellent communication and problem-solving abilities (vertically with legal teams, clients, and cross-functionally with IT and Risk teams).
- Proficiency in Microsoft Office (Word & Excel) for document handling and reporting.
- Client centricity with a proactive and collaborative mindset.
- Ability to multitask effectively while meeting tight deadlines.
