Defects Coordinator (Fixed-Term Contract – 9 months)
We are looking for a Defects Coordinator on a 9-month fixed-term contract (FTC) to provide administrative support for defect management, ensuring high quality service during the defect liability period. This role will involve building and managing relationships with stakeholders, overseeing contract management, and assisting in the tracking, analysing, and reporting of defect information for the New Homes team.
About the Role
Provide essential administrative and coordination support to maintain quality assurance and manage defect reporting during the critical 12-month contractual defect liability period.
Responsibilities
- Monitor and analyse all outstanding defects, including:
- Outstanding work at handover
- Defects logged by customers after handover
- Final defect inspection findings
- Liaise directly with customers reporting defects to verify and assess their status.
- Coordinate customer feedback enquiries related to outstanding defects, managing all related mailboxes for efficient communication.
- Develop and produce monitoring and tracking reports to support the New Homes team.
- Assist proactively in contract management, including:
- Coordinating regular review meetings with contractors to monitor outstanding defects
- Facilitating clear communication on progress and resolutions

Requirements
- Excellent interpersonal and communication skills, with evidence of strong customer care practices and engagement.
- Experience in a customer care environment, including handling enquiries, managing feedback, and supporting customers throughout property/defects/repairs journeys.
- Knowledge of property, defects, or repairs terminology to aid clear reporting and resolution.
- Ability to work proactively in a team, balancing priorities and demonstrating self-motivation with initiative.
- Willingness to contribute on ad-hoc site visits and attend office-based meetings (minimum 2 days/week: Monday and Thursday).

Office Attendance Expectations
- Must attend office minimum 2 days per week (Monday and Thursday).
- Additional office time may be required during the training period.
- Ad-hoc site visits may be required as necessary.
