Our client Google Events & Experiences are looking for contractors to work on an ad-hoc basis.
This role is responsible for the end-to-end management of guest communications, logistics, and digital registration for high-profile EMEA events.
The ideal candidate combines strategic invitation planning and event expertise with strong technical skills in registration systems, event websites, and AI-driven workflow optimization.
Core Responsibilities
- Collaborate closely with the Executive Engagement team to build and manage delegate management strategy for EMEA Events & Experiences delegate management team.
- Integrate AI workflows across all areas to optimise project efficiency.
- Build and manage event websites and registration forms using internal proprietary registration and content management platforms.
- Partner with the Internal Tools Team to develop and enhance themes for internal proprietary event websites.
- Work with internal teams (production, editorial, creative), and external agencies on website design, and asset creation and sharing.
- Manage registration processes including entering/modifying registration data, producing reports and registration lists.
- Manage and execute event marketing or invitation strategy.
- Manage onsite strategy for registration check-in stations, badge printing and distribution of event materials.
- Management of onsite registration staff – creating processes and documents for a smooth process onsite.
- Partner with external travel and transportation agencies to support scope of work across events.
- Manage internal and external communication plans, including managing all teams involved, and ensuring timelines are kept.
- Coordinate with event manager/marketing/exec engagement team to create Post Event Report
- Source and manage relationships with all 3rd party registration vendors including travel, hotel and technology partners.
- Daily management of guest invites email alias including ad-hoc requests, numbers tracking, email changes and additional invites.
- Drafting, scripting and management of all guest communications (and event inbox / alias) including booking processes, room allocations and email aliases - ensuring this is captured in data / RSVP (internal tool).
- Ability to track data, generate reports, and potentially analyze event outcomes.
- Integrate any legal requirements as part of registration process (e.g. activity disclaimers) working with internal teams.
