The Role
We are delighted to offer an exciting opportunity for a highly motivated Departmental Administrator / Secretary to join our dynamic Nuclear Medicine team within NHS Greater Glasgow & Clyde. Based at the Queen Elizabeth University Hospital, you will play a vital role supporting a busy, forward-thinking service delivering over 10,000 patient procedures each year. Working across a multidisciplinary team, you will be central to ensuring the smooth and efficient running of administrative and secretarial functions. This role offers the chance to contribute to a specialist clinical environment that supports patient care, innovation and training. Duration, Location, and Working Pattern:
Full-time, Permanent
Base Location: Queen Elizabeth University Hospital
Shift Pattern: Monday to Friday
Key Responsibilities
Provide a high-quality, efficient secretarial and administrative service to the multidisciplinary Nuclear Medicine team Act as a key point of contact, managing telephone, email and face-to-face enquiries from staff, patients and stakeholders Coordinate and manage patient appointment scheduling, referrals and waiting lists using clinical systems Maintain and develop effective filing systems, databases and records, ensuring accuracy, confidentiality and compliance Supervise and support administrative and clerical staff, including training and day-to-day guidance Organise meetings, prepare agendas, take minutes and support diary management for senior staff Coordinate departmental teaching, training activities, and support regulatory and compliance administration tasks

Knowledge, training, qualifications and/or experience required to do the job:
SVQ NVQ Level 3 or HNC in Business Administration or equivalent qualification with relevant experience Proficient in Microsoft Office and a range of IT systems with strong keyboard and data management skills Excellent organisational skills with the ability to prioritise workload and meet deadlines in a busy environment Strong communication and interpersonal skills with the ability to engage effectively with staff, patients and the public Experience in preparing documents, reports and meeting minutes to a high standard Ability to work independently using initiative while maintaining confidentiality, diplomacy and professionalism Previous experience within a healthcare environment and/or supervisory experience would be advantageous
