About Caledonia Depot in Glasgow
Our Caledonia Depot in Glasgow is looking for an organised and proactive Depot Assistant to support our depot management team. This is a full-time permanent role.
About the Role
You will work closely with the Operations and Engineering Managers, helping to coordinate administrative processes, maintain accurate records, and support the implementation of business and system improvement programmes.
Key Responsibilities
- Maintain accurate operational and engineering records and prepare reports to support depot performance and management reviews.
- Provide administrative support for employee records, including attendance, timesheets, wages, holidays, sickness, and personnel files.
- Collate and process vehicle defect information and support the administration of the vehicle annual test (MOT) programme.
- Manage lost property and coordinate returns to customers.
- Support day-to-day depot administration, including front desk cover, contractor sign-in, and depot systems such as SAM.
- Monitor fuel usage and assist with ordering and coordination of stationery, uniforms, and PPE.
- Ensure compliance with internal procedures

About You
The ideal candidate will be someone who enjoys working in a fast-paced operational environment, can manage multiple tasks efficiently, and takes pride in maintaining accurate and reliable records.
Ideally You Will Have:
- Previous administrative or office support experience.
- Good computer literacy and experience using administrative systems.
- Strong attention to detail and excellent time management skills.
- Well organised with the ability to prioritise tasks effectively.
- Customer-focused with a practical, common-sense approach.
- Self-motivated, friendly, and helpful with an excellent telephone manner.
