About The Role
We are currently seeking a Deputy Administration Manager to join our team.
Our teams of pension administrators provide services to a wide range of trust-based company pensions schemes including defined benefit, defined contribution, career average revalued earnings, and hybrid schemes. Through our scheme-based approach, one team is responsible for every aspect of each client’s service, enabling us to build the best possible relationships and provide clarity of focus tailored to each scheme’s needs.
Ultimately, pension schemes exist for their members, and we prioritise delivering excellent customer service alongside technical proficiency and high-quality control.
Key Responsibilities
- Oversee the management of annual and ad-hoc projects for all schemes, including:
- Renewals
- Benefit statements
- Pension increases
- Life styling
- Trustees' reports and accounts.
- Ensure compliance with customer requirements and legislative regulations.
- Review client work conducted by less experienced administrators.
- Monitor team performance, ensuring:
- Accuracy
- Strict adherence to SLA expectations (activity and client performance, and taking corrective action as needed).
- Liaise with Administration Managers regarding:
- Appraisals
- Regular meeting catch-ups
- Some appraisal, mentoring meetings (especially for probationary staff).
- Accurately update time recording systems for chargeable and non-chargeable activities.
- Maintain a client-focused approach to develop trusting and credible partnerships with clients.
- Prepare, check, and issue administration bills.
- Update internal change control documents, schedules, and spreadsheets as required.
- Complete breaches, errors, and complaint logs promptly.
- Depute for Administration Manager at meetings as necessary.
- Manage daily team workflows to ensure efficient, effective delivery of all projects.
- Hold workflow meetings with senior members to:
- Track progress
- Resolve any challenges.

Your Profile
Essential
- Expert knowledge of pensions administration activities, with practical application to a broad range of schemes.
- Strong experience in initiatives related to Defined Benefit (DB) schemes, including:
- Leavers
- Retirements
- Deaths
- Transfers in and out
- Reporting.
- Deep understanding of current pensions legislation, with a focus on:
- Regulatory requirements from various Pensions and Finance Acts.
- Impact of regulations on pension administration.
- Supervisory experience in workflow management, ideally:
- Performance monitoring
- Appraisals
- Recruitment processes.
- IT proficiency, including:
- Microsoft Word/Excel/Outlook/PowerPoint.
- Effective people management, including:
- Awareness of management processes
- Skill in staff motivation.
- Numerical aptitude, demonstrated through applications in/relevant academic achievements.
Desirable
- Experience in third-party pensions administration (valued though in-house pensions—outside purely process-driven teams—will be considered).
- Presentational experience to assist with prospect pitches and trustee meetings.
- Strong commercial and business awareness.

Qualifications
- Strong qualifications in:
- Mathematics
- English
- Equivalent to Grade C/5 GCSE (or higher)—these must be minimum.
- Progression within a pensions qualification, such as:
- CPC/PCA (Chartered Pensions Consultant/Pension Consultant Association)
- QPA
- DPC (Defined Pension Consultant)
- RPC
- APMI (Association of Pensions & Investments Management)
