Deputy Data Protection Officer
Data Protection Officer Support - Job Description
Purpose of Role
To support the Trust in fulfilling its responsibilities to comply with:
- The Data Protection Act
- The Freedom of Information Act
- The UK GDPR
- Trust policy and expectations
Key Accountabilities & Responsibilities
Core duties include:

Advise & compliance
- Advise academies and central colleagues on compliance with Trust policy and relevant legislation

Record-keeping
- Contribute to and support the Trust’s record of processing activities, ensuring academies adhere to their own

Staff training
- Ensure all central staff complete data protection training within statutory timescales

Data protection impact assessments (PIAs)
- Complete due diligence and assess PIAs where required

Supplier risk management
- Assist colleagues in evaluating risks of third-party data sharing, including due diligence, records of processing, and completing PIAs

Information requests
- Log and comply with FOI requests within legal timescales

Academy support
- Help schools collate central data, redact images (moving/still), and apply exemptions to documents as required

Breach management
- Record data breaches timely and support investigations, liaising with colleagues and third parties to ensure actions and learning are implemented

Governance & audits
- Support the Head of Data Protection in completing data protection health checks at academies

Ambassador network
- Engage with the Trust’s Data Protection Ambassador network, sharing good practice

Training & culture
- Assist in delivering data protection training, communicating key messages, and embedding safeguarding culture

Project support
- Participate in initiatives to embed data protection compliance across the Trust

Administrative support
- Provide Head of Data Protection with any required admin support

Process improvement
- Contribute to enhancing systems and workflows for data governance

Deputy role
- Cover the Head of Data Protection during periods of absence

Strategic alignment
- Complete further tasks as directed to meet objectives in the Trust’s Strategic Plan
Person Specification
Essential Attributes & Qualifications
