The Role
Deputy Operations Manager – Pensions Administration
As a Deputy Operations Manager, you’ll play a key leadership role in ensuring high-quality service delivery, supporting an entire ringfenced team within a fast-paced and dynamic environment.
Reporting directly to the Operations Manager, you’ll oversee daily workflows, quality control, and operational excellence while driving process improvements and fostering team development.

- Ensure efficient work allocation while maintaining process adherence.
- Drive continuous operational improvements to boost team efficiency and client profitability.

Issue Resolution & Coordination
- Manage and escalate work errors, complaints, and recurring issues with the Operations Manager.
- Facilitate timely resolution and service enhancement in alignment with scheme rules and client expectations.

Technical & Compliance Expertise
- Stay updated on UK pensions legislation, scheme changes, and administrative best practices.
- Conduct quality control reviews for scheme-only events and trustee/administration communications.

Financial & Revenue Optimization
- Identify additional revenue opportunities to ensure accurate billing under contractual agreements.
- Coach clients on budgetary allocations and contribute to contract/fee reviews for profit optimization.

Team Leadership & Development
- Coach junior colleagues to take ownership of service delivery and cultivate a high-performing team.
- Conduct performance reviews, support training needs, and address fluctuating workload demands.

Client Management & Reporting
- Oversee Client Stewardship Reports and process scheme events in line with requirements.
- Present periodic updates to Trustees and Administrators as needed.

Process & Project Support
- Lead root-cause analysis for recurring operational issues and advocate for sustainable improvements.
- Collaborate on strategy implementation and solution design, offering direction on complex ad-hoc projects.

Audit & Compliance
- Ensure adherence to internal and external audit requirements, including timely completion of actions and system controls.

Requirements
Key Qualifications
✔ Client & Trustee Liaison
- Proven ability to build and maintain internal and external relationships.
✔ Technical Pensions Expertise
- Strong precision in pensions calculations and in-depth knowledge of:
- UK pensions legislation, scheme types, and member calculation processes.
- Client-specific obligations, including budgeting and fee management.
✔ Root-Cause & Process Improvement Mindset
- Experience in supporting change implementation, process analysis, and profitability management.
✔ Analytical & Collaborative Strengths
- Exceptional communication, problem-solving (fiscal, technical, or administrative), and ability to work across teams.
