What are we looking for?

We are looking to recruit a highly organised and detail-focused Digital Mailroom Assistant to support the effective operation of our Digital Mailroom function.

This is an excellent opportunity for someone with strong administrative skills who enjoys working in a fast-paced environment and takes pride in accuracy, efficiency and delivering excellent internal customer service.

The successful candidate will play a key role in ensuring all incoming post and documentation is processed, scanned and distributed efficiently, helping our legal teams provide outstanding service to clients.

Where will you be based?

This role will be based at our Durham office. Occasional travel to other EMG offices may be required from time to time.

As our Digital Mailroom Assistant, your responsibilities will include:

  • Processing, opening, scanning and uploading incoming post and documents on the day they are received.
  • Ensuring documents are accurately named, indexed and filed in line with business processes and case management standards.
  • Distributing scanned documentation to the appropriate teams and fee earners.
  • Acting as the first point of contact for post and document management queries.
  • Carrying out quality checks to ensure scanned documents are complete, legible and correctly saved.
  • Supporting document digitisation projects and ongoing improvements within the digital mailroom.
  • Assisting with archiving processes and the secure storage of deeds and original documentation.
  • Maintaining registers and logging incoming cheques and other important documents.
  • Supporting the Workplace team with general administrative tasks as required.
  • Ensuring all activities comply with GDPR, SRA requirements and firm policies.

What experience are we looking for?

We would love to hear from candidates who have:

Essential

  • Previous administration experience.
  • Excellent attention to detail and accuracy.
  • Strong organisational and time management skills.
  • Good IT skills, including experience using Microsoft Office applications.
  • The ability to manage multiple tasks and meet deadlines.
  • Strong communication and interpersonal skills.
  • A professional and confidential approach to handling sensitive information.

Desirable

  • Experience within a legal or professional services environment.
  • Experience of document management systems or case management systems.
  • Experience of scanning, indexing and electronic document filing.
