Overall Purpose of the Role
The Digital Data Assistant will support the organisation’s data transformation initiatives by ensuring that legacy and source data is accurately cleansed, standardised, and prepared for migration into target systems. The role is critical to:
- Maintain data integrity
- Support regulatory compliance
- Enable reliable reporting and decision-making post-migration
Skills & Experience
Essential
- Strong proficiency in Microsoft Excel (data analysis, pivot tables, lookups, and data manipulation)
- Ability to work with large datasets and perform structured analysis
- Understanding of data quality principles, data structures, and basic data transformation concepts
- Awareness of data governance, standards, and naming conventions
- Previous experience in data entry, administration, or data-related roles preferred
Desirable
- Experience with data migration projects or system implementations
- Exposure to Power BI, Power Query, or SQL
- Understanding of regulatory compliance frameworks (e.g., H&S, COMAH, food safety standards)

- Analytical problem-solving – Identifying and resolving data inconsistencies
- Clear communication – Translating data issues into business-relevant terms

Main Responsibilities
Compliance & Health & Safety
- Ensure all on-site activities comply with:
- H&S (Health & Safety)
- COMAH (Control of Major Accident Hazards)
- Environmental regulations
- HMRC (Her Majesty’s Revenue & Customs)
- FEMAS (Food & Feed Safety)
- ISO 9001 (Quality Management Systems)
- Understand and act in line with the Site Emergency Response Plan
- Participate in COMAH improvement initiatives

Data Quality & Cleansing
- Review, cleanse, and standardise datasets in line with defined data standards and business rules
- Identify and resolve data inconsistencies, duplication, and inaccuracies
- Support continuous improvement of data quality across core systems
Data Migration Support
- Validate migrated data to ensure:
- Completeness
- Accuracy
- Integrity
- Maintain audit trails for traceability and compliance
Data Governance & Compliance
- Apply data standards, naming conventions, and classification rules
- Support data ownership and stewardship across departments
- Ensure data handling aligns with internal policies and regulatory requirements
Reporting & Analysis Support
- Prepare structured datasets for reporting and business intelligence
- Assist analysts and stakeholders with data preparation and validation
- Highlight data quality risks that may impact reporting accuracy
Stakeholder Engagement
- Collaborate with business teams to define data requirements and issues
- Communicate data-related challenges professionally
- Upskill through required training or qualifications
Continuous Improvement & Operational Excellence
- Drive productivity and cost efficiencies through process improvements
- Perform additional duties as required for the role

About the Organisation: North British Distillery Company Ltd
Founded in 1885, The North British Distillery Company Ltd is one of Scotland’s oldest and largest Scotch Whisky producers. Originally a co-operative, it is now a joint venture between Diageo plc and The Edrington Group.
Key Operations
- Distillation & maturation of grain spirit for blending Scotch Whisky
- Production of new-make spirit in Gorgie (Edinburgh)
- Anaerobic Digestion plant for energy production and animal feed byproducts
- Warehousing & distribution across 15 maturation warehouses (based at Muirhall, West Lothian)
- Activities in bonding, storage, and bottling
